Hi there,


I have a Word template with Outline Levels set up correctly for inbuilt headings (Heading 1, Heading 2 etc) and in the Word Navigation Pane the heirarchy is 100% perfect.

But when I save as a PDF with the option 'Create Bookmark using Headings', the result is not perfect. Some headings are out of whack.

This is driving me crazy. I have tried cutting and pasting everything into a new doc and reapplying styles but get the same result.


I am running Windows 10 and Office 365. Any ideas would be much appreciated

How are you getting to the pdf?
Save As?
Microsoft Print to PDF?
Acrobat?

Do you have a sample doc you can post here for someone to test?

It is possible that the Heading level and the outline level is not exactly matched but it is also possible that there is some piece of hidden content sitting in front of the headings that is interpreted by the pdf engine as raising the outline level for the following item.

You could try removing the content preceding the problem headings and sending to PDF to see if that resolved the level issue. If you can identify the exact point causing the problem then you could replace it with unformatted text to 'remove the corruption'

@Charles, I am using Save as PDF, but i do have Acrobat installed so i tick the bookmark preferences via Options.

@Andrew, I have uploaded the template file for your reference. I did try troubleshooting with unformatted text but didn't get anywhere. I'll try again, thanks for your advice.

On my machine, using Save As to create a PDF doesn't show the same result on bookmarks that you demonstrated. I don't have any insights on why you are getting the problem but I'm not so it doesn't appear to be the file itself.

Have you tried this on different machines at your work?

I've tried it on two PCs and my client has tried it too, with the same result.

Can I ask what platform, version etc you are running that gets a correct result? Thank you!

I do not see any problem, either.

I am using Microsoft 365, Version 2408 current channel.


I used Save As and picked PDF as the file type.


I clicked on More Options and then Options to make sure that headers would create bookmarks.

Sorry, I've just updated my version of Word and it is now Version 2407 (Build 17830.20166 Click-to-run) Current Channel. When i click 'Update Now' again, it says "You're up to date!"



How can that be if you're running version 2408? What am I missing? (Sorry if this is a silly question!)

Because updates are rolled out gradually. If updates were rolled out to every Office 365 user at the same time the system would crash.

One of the machines I tested on was also version 2047 with a build of 17830.20138 so I don't think the problem lies in a subtle version or build status difference.

I would be looking at addins before worrying about Word versions. When you have PDF creating software on your machine, they can hijack the PDF creation process rather than letting Word's native PDF creation process work.
