I've got a multi page document consisting of a single column of text , relating to articles in a set of magazines. I want to produce an index, but highlighting the text and sorting by field 1 does not result in proper alphabetical sorting. For example, part of my list of items beginning with D looks like this after sorting:




Devon —Radford, Castle Lodge 65;19
Devon —Ruined church, Ivybridge 65;5
Devon —Shell House Jordans, Ilminster 68;24
Devon —Vigers Hall, Shell House, Wallabrook 62;6
Dewstow’s grottoes, Caerwent XGW 63:8
Diaries of Sanderson Miller of Radway together with his memoir of James Menteath, The
(William Hawkes)64;12
Disney, Henry Roebuck 69;12
Dodington Follies GL 71;9
Dodington Manor Summer House GL 70;9

Design for Death (B.Jones) 16;5
Design for Death (Barbara Jones) 83;15
Design for folly 77;20




So it goes Dev to Dew, then Dia, Dod and back to Des. Any idea why?

How are you producing the Index - with XE & INDEX fields, or some other way? And how are you doing the sort? When I paste your text into a document, then convert the text to a table and sort the table, a correctly-sorted list results.

Thank you - the index has been produced by someone else, now deceased, and is in three separate documents. I've converted these from pdfs to text files, cut and pasted them into one document, then highlighted all the text and clicked the sort button. This puts all the individual letters together correctly but doesn't work within a single letter. I didn't realise the text had to be in a table format for the sort to work. I've just converted it to table and re-run the sort, but it still doesn't perform the sort correctly. Here's a portion of the sorted table:

I've turned on the show/hide feature and I can now see that all the rows within that single large row have a carriage return symbol after each row, whereas the others have a square symbol (table cell marker I think). How would I convert the rows in the large field into individual table rows? I've tried find and replace but can't find a caret character for 'table cell marker'

I've attached an image of the part of the list that isn't sorting.

I've tried replacing the carriage return symbol with a paragraph symbol using ^l and ^v in sort and replace, but it comes out all in a line like this:

While this is an index, it is not one produced by Word's Index feature.

I would replace the line breaks ^l with paragraph breaks ^p and then covert the table to text.
Then remove any unneeded paragraph marks and sort.
You could either put the Sort command on your QAT or convert the text back to a table, perhaps a single-cell table, so you could use the Sort command it the Ribbon.

This is almost what I did with the data pasted above to try it. I pasted into Word and saw the line returns, Find/Replace ^l to ^p, then converted the text to a table, breaking contents on the paragraph.

When sorting, I found I didn't get results until I changed the Sort By from the first cell's text to Column 1 as found in the dropdown, as shown below. Then it sorted. You could, then, convert the table back to a text, or simply make the table gridlines invisible if that suited better (handy for updating.)
