Hello everyone.

I am doing a mail merge from an excel file into Word 2007 to email as a PDF attchment using Acrobat 9 Pro into Outlook 2007. My objective:



To email as pdf attachment with subject line and attachment named from a field within word.

After I run the mail merge within Word, (I stop at step 5 of 6 within the MS wizard) I click, "Send>Email as PDF Attachment". Wait for Outlook 2007 to give the email window to send it out.

What shows up in the subject line and the attachment name is the original file name (lets call the file name "contract template"). What I want is a specific name for the subject line and attachment file name.

I have mailing addresses I'm sending to. So in the Word file there is an address of "123 Mainstreet Hollywood CA 90210". I want the subject line and attachment name to be "123 Mainstreet Hollywood CA 90210". Why isn't it doing it?

My 2 friends are doing it successful everyday.

Can someone please help as it's vital to my business?

Hi Nexus,

Word can't personalize either the subject line or the attachment name using the standard mailmerge tools. You may be able to adapt the vba code at:
http://word.mvps.org/FAQs/MailMerge/...ttachments.htm
to use that kind of process to drive your mailmerge process.

Hello macropad,

I don't understand because I'm watching a video of my friend doing everyday and I know he didn't install that.

Yesterday, I got it to work with a slight workaround. I start with the Word template, then mail merge, select recipients from the excel file, and stop at 5 of 6 in the mail merge wizard.

I then select all (of the 11 page word doc), copy, then paste all that in a new Word doc. THEN, I send email as pdf attachment which now, both the subject line and pdf attachment, are named after the mailing address.

It works just as I want when I paste it all into a new doc.

Can you tell me why it works like this now?

Why won't Word name the subject line and attachment from the original?

Hi Nexus,

The reason you're getting both the desired name for the document and the subject line with your workaround is because (if I understand it correctly) the email subject line is taken from the document's name.

Are you sure your friend was using Word, and not Publisher?

Hi Macropad,

I positive he's using Word as I've watched the video's 5 times and going through the process step by step to make this work. He's not using Publisher at all.

See http://support.microsoft.com/kb/826838. There, MS has this:

Q6: Can you use a Merge field in the Subject box of an e-mail message?
A6: No. You can only type text in the Subject box of an e-mail message.

Note Microsoft Publisher 2007 or Publisher 2010 provides support for this.
Similarly, http://support.microsoft.com/kb/294694 says:

  1. Click Electronic Mail.
  2. When the Merge to E-mail dialog box appears, select the field that you want to use for the To line, type the subject in the Subject line, and then select the mail format that you want to use.
  3. Click OK to send your messages.
Since your propsed filename comes from a mergefield, these two articles seem to rule out doing it automatically with Word's standard tools. Your friend could, perhaps, have a macro that runs in the background when executing the mailmerge. One wouldn't necessarily see anything unusual when this happens and the email personalisation might be the only visible effect.

But Macropad, why is it doing it for me now?

When I get to 5 of 6 in the wizard, I select all, copy the contents, open new doc, and paste, THEN send emails as pdf attachment and it's filling the subject line and naming pdf filename with the property address.

I didn't install no macro's so how do you explain this?

It's working because, by your own admission:

The workaround is that you're creating the PDFs and emails individually, instead of letting Word do it in bulk.

Perhaps we are misunderstanding each other.

Why is it autopopulating the subject line and naming the filename with the property address like I want it to when doing it from the new Word doc?

However, when I do it from the original Word doc it's naming it with the original filename?

Probably because it takes whatever happens to be the active document's name as the 'name' for the subject line. Without having access to whatever code Word uses for this part of the process, one can only surmise...

I think I'm going to call Microsoft themselves since we can't figure this out.
