I have created custom labels which contain formatting (borders) and static text. There is only one mail merge field in each label. There are three labels per page. When I do the mail merge with the source file (an Excel file) it takes each record in the source file and populates this value into the mail merge field in each of the labels on the page.
What I want it to do is take the first record, populate the value of the mail merge field for that record into the first label on the page then move to the second record and populate the value of the mail merge field into the second label on the page and move to the third record and populate the value of the mail merge field into the third label on the page then move to the four record and populate the value of the mail merge field into the first label on the second page of custom labels, etc. etc. Rather than do this it is repeating the value of the mail merge field in each record three times on each page. How can I get it to populate one value from the source file onto one label and then move on through the list of records in the source file? |

You need to ensure that there is a Next Record field at the start of labels 2 and 3. The merge document itself should have one page. See

Mr. Mayor:
Thanks much for your post. Very useful. Should Labels 2 and 3 have the merge field imbedded in them or just "Next Record". If yes, does it matter whether "Next Record" precedes or follows the merge field? |

Mr. Mayor:
I followed your advice and some, but not all of the behavior on the mail merge I was looking for. Within any given page of labels (3 per page, one across) the "Next Record" command does produce the merge field value from the next record. However, the second page of labels now starts with the second record and displays merge values for the 2nd, 3d and 4th records. The third page of labels starts with the third record and displays the the merge values for the 3d, 4th and 5th records, etc. This happens both with my own custom 3-down, 1-across labels as well as with a test run I did on a standard Avery label template (!)(#5126). Any idea what is happening here? |
