Changing Cross Reference Text
Hi,
I'm hoping someone may be able to help me out; I've Googled a lot and can't find an answer to what I think may be a simple question. What I would like to be able to do is change the text displayed when cross-referencing. For example I have a section title (say a Heading 1 or similar) with the text "The Routing Information Protocol". However I would like to be able to reference it elsewhere in the document as "Routing Information Protocol", "RIP" or simply "here" (as in 'see here'). However I just cannot see how this can be done. Can anyone help? Thanks, Dave |

If you want to cross-reference the text of part of a paragraph, enclose the text in a bookmark, and then create a cross-reference to the text of the bookmark.
If you want to cross-reference custom text, you can make use of a SET field. Place the insertion point at the beginning (or end) of the text that you want to reference. Press Ctrl+F9; Word inserts field delimiters, { }. Within the delimiters, type SET myref1 "RIP" (so that you have { SET myref1 "RIP" }). Press F9 to update the field. Word creates a global variable named myref1, storing the text "RIP." No field result will be shown in the text, but if you have enabled the display of bookmarks, you will see the bookmark created by the SET field. To reference the global variable you just created, insert { REF myref1 \h } and/or { PAGEREF myref1 \h } for the page number. Update the fields by selecting them and pressing F9.

Change Text Easily
There is an easier way to change the cross reference text. Simply edit the text that the cross reference inserted. In my case, I wanted the name of the hyperlink to be the name of a document that I specified in a table. This is what I did to accomplish that:
1) I create a cross reference to the Table with the "Insert reference to:" box set to Entire caption. 2) I then highlighted the middle text of the hyperlink that was created and pasted the name of my document. Note that I highlighted the middle text of the hyperlink because I found that if I highlighted the entire text, the paste would remove the hyperlink field. 3) I deleted the first and last characters of the old hyperlink text, and now my hyperlink is the document name that I wanted. It would be nice if Microsoft allowed us to specify the hyperlink text in the Cross-reference dialog box, but editing the text is no too difficult |

But note that manual changes will be lost when you update the cross-reference field.

When would I need to update a cross reference?
Thanks for the info about updating the cross reference removing my edits, but when would one need to update a cross reference? I find that the cross reference correctly points to the table as I make changes to the document.

Well, if a cross-reference points to content/text, you want to update it if the source changes. If a cross-reference points to a paragraph or page number, you want to update it if the source paragraph has been renumbered or moved to another page (which may very well be the result of editing the document).
