![]() Hi everyone. I am trying to find a solution to my "dilemma" concerning cross-referencing. I am working on an agreement which has a lot of cross-referencing and this includes bulleted items, for example, I need to refer one clause to clause 4.2(c)(ii) in the agreement. For now, the process that I am doing is this: 1. Go to the location in the document where I need to insert the cross-reference. 2. Click Insert - Cross Reference. On the Reference box, I will click the drop-down list and will pick the link that I need to link to, ie click on Clause 4.2 then I will do the same steps and click (c) and then will do the same steps again but click on (ii) Is there a simple and efficient way to do the cross-referencing all at once like when I click on clause 4.2(c)(ii), the cross-reference that would appear on the document will be exactly as "4.2(c)(ii)"?. I am not sure if I made any sense but I am hoping someone could help (LOL) TIA! |

If the numbering is all part of an outline then there is a xref type to insert the xref number 'in full context' which will bring all the parts together in a single xref pointing at the 'ii' paragraph. This brings all parts of the tree in for you.
This is the \w switch which you would see if you viewed the field code after adding the xref. You can adjust an existing xref by changing the switch option to this. If this is not working for you then perhaps your numbering is not set to a single outline list.

Actually it is a whole lot easier than you think.
If your paragraphs are setup with automatic numbers like this... 4.2 a heading (a) the first clause in 4.2 (b) the second clause in 4.2 (c) the third clause in 4.2 (i) the first subclause of 4.2c (ii) the second subclause of 4.2c then you put your cursor where you want the cross-ref and go to Insert > CrossReference: Reference type = Numbered Item; Insert Reference to = Paragraph Number (full context), and choose the ii paragraph and click the Insert button.

Setting up the numbering:
How to create numbered headings or outline numbering in Ribbon Versions of Word by Shauna Kelly Inserting Cross Reference: Complex Documents - Cross-References Word is a powerful program, but it does not include mind-reading artificial intelligence! When you want a cross-reference that can automatically update, Word needs a way to indentify what it is you want to reference. The built-in heading styles, numbering and bookmarks are all ways that Word can figure this out. |
