Hi
I have a table of contents, using the following styles and levels: Style Level Appendix 5 Heading 1 1 Heading 2 2 Heading 3 3 I have no problems updating/refreshing the table of contents. However, if I ‘Edit Field’ ‘Table of Contents’ the styles ‘APPENDIX’ and ‘Heading 3’ have lost their level (in the 'table of contents options' dialogue box) and are the removed from the TOC in the document. I have to re-enter their levels everytime i edit the table. There are numerous users of this template and I require the table of contents to have all the above headings/levels. Can anyone advise why, when I edit the TOC, I loose Appendix and Heading 3 levels? thanks |

Are the levels part of the style definition too? Make sure they are. When you start a TOC and choose to have 5 levels, it automatically (I think) picks all styles that have any of those levels as part of their definition. You can add or subtract styles from the TOC in the TOC menu, but to have them show up automatically I think you have to the levels be part of the style definition.

By default, a TOC field picks up anything created in Heading Style 1-3. If your TOC is configured for more Heading Styles (up to 9) or less, or for other Styles besides these, it will always revert to whatever it is configured for every time it is refreshed.
Your problem description suggests you are trying to build a Table of Contents partially from content for which the TOC field has not been configured.

See How to number headings and figures in Appendixes in Microsoft Word by Shauna Kelly. It shows how to set up headings for Appendices and have them show up in a TOC.

At least in some versions, right-clicking a TOC and choosing to edit the field is not reliable. You can edit a TOC field directly in the text if you first choose to display field codes (use Alt+F9 as a toggle).
However, in this case it will be easier to set up appendix numbering from the start as discussed in the article to which Charles has already linked: http://shaunakelly.com/word/numberin...ppendixes.html.

Thanks all for your suggestions.
I tried only using 'Level 2' for Heading 3 and Appendix but once i went into edit again - they were removed and deleted. Appears my "show levels" (in Table of Contents/General) is set at '2' and when i change it, to 3 or 5, it defaults back to 2. |

OK, I see the problem. Revisiting the dialog box isn't going to work once you have set up the TOC. Options revert to the defaults.

I have had little luck trying to change things piece-meal in numbering. I generally start out from scratch to create a complete numbering list linked to styles. I do not try to modify the numbering after I have it set up. I would recommend going in and setting all outline numbering linked to styles in one go.
