I'm hoping you can help me with an MS Word problem, because I have no where else to turn!



I have a really long document divided into chapters using section breaks. In each section, there is header that contains the chapter title. It also has a page number field, that includes the chapter number and begins anew in each section. I.e. section 1, page 1 is numbered "1 - 1" and section 2, page 1 is numbered "2 - 1".

My issue is that I'd like to include the overall document page numbers in the footer. I.e. for Section 2 - page 1 the page number would display its true place in the whole document (say, page 5) rather than just its page number within the section. But whenever I change the page number format in the footer, it also changes in the header. So I can't seem to have my cake and eat it too.

Any ideas so that I could have section page numbering in the header, and full document page numbering in the footer would be greatly appreciated!

Hi Jim,

Thank you very much for the reply. I actually have come across those links and unless I missed it, they didn't quite solve my problem.

My issue is that when I change page number formatting in the footer, it also changes in the header. However, I'd like to have section numbering in my header, and full document numbering in the footer. So right now, I've gone through each section and at the first page of the section, I've edited the page numbering to start at 1. But, in my footer I'd like the pages to not start over at 1, and continue counting up from the last section.

I hope this makes sense.

Well, it makes sense reading it but, I don't think it makes sense to "Word". I may wrong on this but, I don't think that is a feasible task in Word. If I am wrong, it would be interesting to see the resolution to your issue.

Maybe another contributor can help. I will take a back seat...

Word doesn't really support dual page-numbering schemes. There are workarounds, however, involving field coding. Basically, that requires using SET fields to bookmark a SECTIONPAGES field in each section's headers or footers, as appropriate, with names like Sctn1, Sctn2, etc., thus:
{SET Sctn1 {SECTIONPAGES}} in Section 1; and
{SET Sctn2 {SECTIONPAGES}} in Section 2,
then using a formula like:
{={PAGE}-Sctn1 \# 0} in Section 2; and
{={PAGE}-Sctn1-Sctn2 \# 0} in Section 3,
etc. to calculate the page #s for each of the sections for the 'x' part of a 'Page x of y' numbering. The 'y' part in such a scenario is returned by a SECTIONPAGES field. Implementation requires the headers or footers containing these fields to have the 'same as previous' property unchecked. See attached implementation. Section-based page numbers are in the headers, document-based page numbers (and the additional field coding required to implement them) are in the footers.

Note: The field brace pairs (i.e. '{ }') for the above examples are all created in the document itself, via Ctrl-F9 (Cmd-F9 on a Mac); you can't simply type them or copy & paste them from this message. And, although it's possible to construct the field codes via Insert|Quick Parts>Field, doing so is much less practical than doing it as described. The spaces represented in the field constructions are all required.

Thanks everyone, you guys rock! I think with the information you've provided I'll be able to accomplish the dual page numbering. I just have to figure out how to correctly insert the field codes.

As indicated in post #5, the simplest way of inserting the field codes is by pressing Ctrl-F9 (to create the field braces), then typing the text between them. Do note that, with the representations I posted, the fields are nested, so you'd press Ctrl-F9 twice.

Hello all,

So I tried following the steps in method 1 on this link from microsft support: http://support.microsoft.com/KB/190550

However, my footer page numbers are still just giving me section page numbering instead of full document page numbering.

I've attached an example. Can anyone see what my mistake is? (if you press Alt+F9, you can see where I've inserted the field codes).

I am really grateful for the help you've provided so far.

I've never used the SEQ field method. Look at the footer of Section 4 of the example document in the tutorial I linked earlier. It uses bookmarks.

The previous screen shot is a bit confusing. It is with field codes displayed. Here is with results displayed. The part that looks like a field is ordinary text.

Hi Charles

Thanks for that information and screenshots. I was hoping to use the SEQ method because my document contains 100+ sections and it seemed easier to implement.

But since I can't seem to get it to work based on the instructions I've got, I'll try your method with bookmarks.
