I agree with Greg. The skill of modifying the Ribbon is arcane and will take some work. It is worth doing.
In the meantime, though, you can create a Global Template that has modifications to the QAT and share that. Modifying the QAT and Ribbon in Microsoft Word That takes less skill (and is not as flexible). Note, you probably do not want to be opening documents but rather creating new documents based on templates. You would be wanting to open existing documents if you are making and saving changes to some kind of log or joint project.
