Hi,
Using Outlook 2013 or Word 2013, I often want to select some text, and change it to Arial Font, size 11, and a specific colour. Is there some way to define 1 key to do this? If not one key….. what is the quickest way I can do this? And yes it is always Arial… always size 11….and always a specific colour. The icing on the cake would be if a command could be added to the Quick Acess toolbar to do this…. but I am guessing this would be more likely for a ‘wishlist’ for a future version of Word. Best Wishes, Dave |

In Word, define a Style with those attributes and add it to Word's Style Gallery. Then, whenever you want to format something in that Style, simply click on the Style Gallery entry. You can also add the Styles dropdown to the QAT.

Thanks MacroPod for your quick reply.
I am new to Styles so not sure what i am doing wrong. I created a new word document, set the font to Arial, size 11 and the colour i want. I selected a piece of the text, and went to Styles in the mini toolbar above the selected text, and selected 'Styles', 'Create a style' and gave it the name ArialBlue11 Then saved and closed the document. I opened a new Word document, typed some text in a different font, selected some text, but when i go to 'Styles' in the mini toolbar, the new Style titled ArialBlue11 cannot be seen. Do i need to save this new Style in some special way so it can be seen in all documents... preferably old documnets as well as new ones? Best Wishes, Dave |

OK, if you want it available for all documents, having created the Style, go to Styles, click on the little dropdown arrow in the bottom right corner, make sure your Style is selected, then click on the Manage Styles button, then the 'new documents based on this template' option.

Hi Paul,
That worked great... thank you! This will make a common task much easier to do with much fewer key strokes. Best Wishes, Dave |

If you want to fix existing documents do one of two things; a. Ignore 2013 default search bar it's horrendous ![]() b. Type Ctrl-H to get Search & Replace. This Option lets you replace a specific Font , Color, Size with another 1. Click In the Find What Box a. Click More b. Click Format and Select Font c. Select the font you want to change, and if it's coloured , and size d. Click in Replace With and Repeat above to new Font , size & Color e. Replace All or Replace Selectively This Option lets you replace one style with another. It isn't as fine grained as the above but can be refined with extra criteria in the Find What section 1. .
