Hi luckycharms,

You can insert the pictures as links, via Insert|Picture with the 'link to File' option, which use INCLUDEPICTURE fields. You can lock such fields via Ctrl-F11 to prevent them from updating. Ctrl-Shift-F11 unlocks them.

Sending the files to others may be problematic, especially if the fields are unlocked, as Word won't then be able to find the links. You could, of course, unlink the fields so that the sent documents don't have any links.

With PDFs, you'd use Insert|Object. Do note, though that you'll only be able to see the first page of a PDF, unless you insert it as a clickable icon.
