Sorting a Word table containing cross-references
I have two separate tables in a Word 2010 template. They are identical in structure as far as headings, columns, rows, etc. In one table I have Bookmarks assigned and in the other a cross reference to that Bookmark. The last column in each table row has a background color assigned based on rating. It will can only be red, yellow, or green.
Is there a way that I can sort these tables by color and still maintain the link to the bookmark? I need it to sort red at the top followed by yellow, then green I am open to suggestions for using VBA if it calls for this. Thanks Mark |

Providing you're sorting the table by a given column, and not sorting the column only, the cross-references should remain valid. As for your actual sort criteria, Word won't sort by colour, so you'll either need an actual value to sort by (eg the rating value behind the colouring) or a macro.

Thank you for the speedy reply. In addition to the background color the rating color name also appears. So I presume I can sort on that instead of the actual color? I forgot to mention that. Mark |

Yes, you should be able to sort by name. Of course, if the alphabetic order of the names isn't the same as the ranking (eg "nil, low, medium, high, severe" would sort as "high, low, medium, nil, severe"), you might need a 'helper' column with numbers that correspond to the rankings.

I think you're right about the helper column. Is it possible to add this column and keep it hidden? Or non-printable? I like that idea.

You could add another column to the right of the table, clear its cell borders (except for the left one), and format its text as hidden. You can then control the column's display & printing via Word's display/print options.
