I work as sysadmin for a small company.

All the users have access to a certain shared folder. One of them has asked me to apply filters to this inbox.



Please let me know if you know how to apply filters for it. Nothing much happens when I try to create a rule.

What type of filters is he looking for. Since it's a shared folder, my first recommendation would be to customize the Views for the specific folder. These changes would apply on an individual basis, whereas rules would affect everyone that uses the folder.

I actually need two filters which apply to all users.

The first filter should move junk e-mail to the trash folder and the second filter should show an alert whenever a fax message arrives (a message with [fax message] in the subject field).

Assuming that this is a public folder and not simply a shared folder from a user's mailbox, you'll need two things. First, the user setting up the rules needs have Owner permissions for the folder. Second, the user needs to have Send As permissions for the folder.

With both those permissions, you should be able to right-click the public folder and go to the Properties. You then want to click on the Administration tab and click on Folder Assistant. You should be able to create the new rules there.

Unfortunately I've found that public folder rules aren't entirely reliable.

I have given myself Owner and Send As permissions but the Folder Assistant is still greyed out. I am the system administrator but I don't have an e-mail account as administrator but as a user, I don't know if this could be the reason why the Folder Assistant is greyed out.

Make sure that you're going to the actual public folder under the root folder, and not under the Public Folder Favorites. That's the only reason I can think of that the Folder Assistant would be grayed out for a public folder if you have Owner permissions.
