Default Blank lines in standard letters

I am using an Excel file to supply names and addresses to envelopes, quite straightforward. At the top a big B indicating B-mail, then name and address lines, and at the bottom sender information with a big watermark X across.


1) the B is not correctly displayed at the first envelope , only the upper part of the B
2) How do I get the blank address lines displayed as a blank line?
Putting a blank character before or after the field, say <<addres line 4>>, does not work
It seems that lines containing fields that end up being blank are simply ignored and thus the sender information is not correctly placed under the X. I have to edit the individual envelopes. Any suggestions?

Hi AlteDäne,

Are you sure the envelope's paragraph line height is set to a particular point size? Also, if you're trying to use Word's mailing label field, you'll probably find you'll get better results if you explicitly insert the mergefields where you want them.

Hi Paul,
I enclose two screenshots, the first one showing the definition in Word, the second one the results. The first envelope demonstrates the Word-error! (may be corrected by retyping the B). The third envelope has a receiver with only two address lines and that makes the bottom lines crawl upwards. (This has to be corrected on every one envelope with less than four address lines)

Hi AlteDäne,

Without seeing the actual document, it's hard to diagnose the problem. As per my previous post, though, I do note that whatever was selected has the paragraph line height is set to a particular point size - in this case 12pt. That could be the cause of the problem. Try using 'single' instead.

Here are the documents: the Word file (envelopes.docx) and the Excel sheet (receivers.xls). Quite straightforward, really an exercise in mail merge!
Take the Word-file, go to Mailings, add the Excel-file and look at the result using the outer right button (Finalize and Merge, edit the documents).
The first envelope only has part of the leading B (cut off)
The second is ok
The third does not have address3 and address4, but they should be retained as blank lines! Otherwise the bottom lines crawl upwards and must be individually corrected.

Hi AlteDäne,

I ran the mailmerge with your sample document & workbook.

No indication of the 'B' being cut off - it looks fine on all three records.

You can solve the problem of missing lines causing the return address to shift up by converting the mergefield name & address lines to a table with a fixed row height.
