How to extract specific pages (Category) or arrange pages in a mail merge document?
Hi, I am new to this forum and I have searched through the page but I am not sure how I can get what I want. So I m opening this post looking for help.
I have a 5 pages documents with workers' information for taking their attendance throughout a week. Page 1: Company A Workers Page 2: Company B Workers (p.1) Page 3: Company B Workers (p.2) Page 4: Company C Workers Page 5: Company D Workers The excel file is simply showing the date in a week. 13/9/2021 14/9/2021 15/9/2021 16/9/2021 17/9/2021 18/9/2021 Merge mail works in generating a document in below order: Page 1: Company A Workers with date 13/9/2021 Page 2: Company B Workers with date 13/9/2021 (p.1) Page 3: Company B Workers with date 13/9/2021 (p.2) Page 4: Company C Workers with date 13/9/2021 Page 5: Company D Workers with date 13/9/2021 Page 6: Company A Workers with date 14/9/2021 Page 7: Company B Workers with date 14/9/2021 (p.1) Page 8: Company B Workers with date 14/9/2021 (p.2) Page 9: Company C Workers with date 14/9/2021 Page 10: Company D Workers with date 14/9/2021 Page 11: Company A Workers with date 15/9/2021 Page 12: Company B Workers with date 15/9/2021 (p.1) Page 13: Company B Workers with date 15/9/2021 (p.2) Page 14: Company C Workers with date 15/9/2021 Page 15: Company D Workers with date 15/9/2021 and so on. Have you used the Edit Recipient List and then specified the sort order on the two fields (Company then Date)?

Then perhaps you need to post your sample data and merge document so we can see what you are doing. Sorting the data shouldn't remove records - but filtering it might.
An alternative might be to link the Excel data into an Access Database and create a report that shows the data in the format you want it.

Your date list doesn't have a column for employee names. Does that mean the list of employees is static?
The Date List contains duplicate records. Should they be ignored or do you want a sheet for each record Is the colour of the names in your output documents pertinent to what you want? If so, what does the colour mean? It appears to me that the simplest solution for this is to use Microsoft Access. Is there a reason you are trying to do this with Word? Finally, if staying in Word, I would suggest you work through the tutorial pinned at the top of this forum https://www.msofficeforums.com/mail-...-tutorial.html as this looks like it aligns reasonably closely with what you are trying to do.

Is the colour of the names in your output documents pertinent to what you want? If so, what does the colour mean?<-------The colour has no meaning. 4. It appears to me that the simplest solution for this is to use Microsoft Access. Is there a reason you are trying to do this with Word?<-------I don't know how it works. Quote:

If you want to do this with a mail merge then I would create a separate source document for each company and have a single merge field containing a series of dates. The data source would just contain incrementing dates like
20/9/2021 21/9/2021 22/9/2021 23/9/2021 24/9/2021 The more labour intensive (to create) method would be to devise a macro which asks for start and finish dates and prints out the relevant pages without using a merge source at all.
