Default Word suggests naming a new document "[Name] 2011." Why?


I have a main document that I use to merge with data and make new documents. Its name is Guidebook 2014.

Whenever I merge and save, it suggests this name: Guidebook 2011.

I have searched for 2011 in the document. Not found. I have looked at the properties and advanced properties of the main document and can't find anything referring to 2011.

Can someone tell me where Word pulls the info for suggested names from? And how I can tell Word that new merged documents should really have 2014 in the name? Thanks!

That suggests there's a macro in the document that's choosing the default name. A mailmerge output document would ordinarily have a default name like 'Letter 1'.

Ah, let me clarify. After I merge the new document is Letter 1. Then when I want to save it, in the File name area, I find Word has already filled in "Guidebook 2011." Any ideas of what would cause this?

In that case, it's because your mailmerge main document's Title (not its Name) is "Guidebook 2011". This is set via File|Info>Properties>Show Document Panel.

Good guess, but that's not it. See the attached screenshot, which shows the suggested file name and the title. (OK, I eliminated the "Part 2 main" part of the name to simplify my explanation above.) So the suggested file name is not coming from the title.

Any other ideas of where Word pulls the information it uses to suggest a file name for a new document?

Without actually seeing the mailmerge main document, it can be difficult to diagnose the issue. Can you attach it to a post with some representative data (delete the data connection and anything sensitive)? You do this via the paperclip symbol on the 'Go Advanced' tab.

Thanks for pursuing this, Paul.

Is the Go Advanced tab in Word or in this forum? And where is it? I can't find it.

To delete the data connection, I clicked on the tab "Mailings", selected "Start Mail Merge" and then clicked on "Normal Word Document." If I do a save-as, I no longer have the problem. So is this how I should delete the data connection?

That'll do. Another way is to answer 'no' at the SQL prompt, then do Save As.
