I have a 1500 row excel sheet consisting of 150 File#s with several correspondence columns (To, From, Topic,…). Each File# is associated with 1-20 pieces of correspondence. I want to merge to a Word document which shows the File# once, followed by the details of each associated correspondence. How can I create a rule to not show the File# if it equals the previous File#?

The result should be along the lines of:


File #: 12345
To: Mr Smith From: Mr Jones Date: 1/1/13
Message: blah blah blah

To: Mr Jones From: Mr Smith Date: 1/2/13
Message: blah blah blah

File #: 56789
To: Mr Red From: Mr Blue Date: 2/1/13
Message: blah blah blah

To: Mr Green From: Mr Red Date: 2/2/13
Message: blah blah blah

You can use Word's Catalogue/Directory Mailmerge facility for this (the terminology depends on the Word version). To see how to do so with any mailmerge data source supported by Word, check out my Microsoft Word Catalogue/Directory Mailmerge Tutorial at:

The tutorial covers everything from list creation to the insertion & calculation of values in multi-record tables in letters. Do read the tutorial before trying to use the mailmerge document included with it.
