Hello all,



I'm working on a document in Word 2007 (Win7). I have several long captions (several sentences) that make my list of Figures look untidy. I'd like to have only the title of the figure (e.g. the first sentence of the current caption) included in the list of figures. I was told to simply change the style of the additional text in the caption. However, I seem to be having a problem with this. Anyone have a way to accomplish my goal?

By default, lists of figures don't reference styles; they are created based on the caption label used.

Here is what you can do: At the location where the caption title ends, press Enter to insert a paragraph mark. With nonprinting marks displayed, each paragraph mark is represented by a pilcrow (¶). Then format the paragraph mark as hidden, so that the caption will appear to consist of a single paragraph (in print and with nonprinting marks hidden). When you are done, update the list of figures.

To show/hide nonprinting marks, you can click the ¶ button on the Home tab.

Thanks Stefan,

However, I wasn't able to make your method work. It was probably just my ineptitude. However, I did stumble across something called a 'style separator.' This did the trick for me. For anyone following down the same path here are a couple of notes:

1) Style Separator is not on any default ribbon and must be installed (Word Options/Customize) - Google around and you will see how to do it.

2) When you click the button it will add the 'Style Separator' at the end of the paragraph. You can see it if you show the nonprinting marks as Stefan describes.

3) Once the Style Separator has been inserted, cut the text you don't want in the 'List of Figures' and paste it behind the Style Separator mark. It will drop in as Normal so you may need to reformat it.

Why is everything so hard in Word? Sigh.

The style separator and a hidden paragraph mark are basically the same, but the style separator is a bit easier once you've located the command. :-)

However, style separators are not supported in older versions of Word.

By the way, in what way didn't the hidden paragraph mark method work?

Stefan,

Hi. I couldn't figure out how to format the paragraph mark as hidden. It always wanted to start a new paragraph. Again, I'm sure it was just my ineptness.

I forgot to mention that you may have to deselect the "Use smart paragraph selection" (Word Options, Advanced category) option in order to select only the paragraph mark.
