Hi,

I am trying to publish my thesis as a pdf and would like it to be searchable and I would like the cross-links to work, given that it is over 200 pages long!

When I publish as a pdf within Word, the cross-links all work, i.e. clicking on the link "Figure 3" will bring me to Figure 3, but the text is not selectable or searchable. The weird thing is, the headers ARE!

If I use a pdf printer, all text is recognized and searchable, but none of the cross links work.

I'm using an uncommon font, Centaur, but it's used in the header as well, so I don't think that's the issue...



Ideas? Solutions?

Hi aero_b,

What process are you using to 'publish as a pdf within Word'? When I use Save As > PDF, the content is selectable and searchable.

Thanks for your reply. I used that procedure too.

I've attached 2 pages of the document so anyone can try and see if they get the same problem (i.e. only the header is selectable for me). The cross-refs will be messed up because I've delete what they're referring to, but don't worry about that part.

Hi André,

It seems the problem has something to do with the Centaur font. With it, there are indeed visual problems selecting the text in the pdf (though it can be copied from the pdf and pasted correctly into a new Word document) and with using 'Find' in Acrobat. However, if I change the font to Times New Roman, for instance, everything in the pdf works normally.

Hi again,

You are absolutely correct: it's only a problem when using Adobe Reader. If I use Foxit Reader, everything seems to work. It's sort of a strange problem to encounter; I would've expected Acrobat to be the one that does work, since MS would likely have tested the heck out of that viewer because it's the most commonly-used one. Oh well, I'm happy to use Foxit rather than Adobe anyway!

Thanks a lot for your help, although this appears to be a bug... and bugs are notoriously impossible to report to MS. I'll still mark this as "resolved" since there is a freeware solution to the problem that others may appreciate finding.

Hi André,

If the error occurs with Abobe Acrobat, but not with Foxit, that suggests the error in in the Adobe product, not with MS Word. So, reporting it to MS wouldn't be appropriate - it needs to be reported to Adobe. Also, even though you're happy to use Foxit, that's not going to be much help for anyone else you provide the PDF to if they use Abobe Acrobat - you need a document that is processed correctly on all platforms. Hence, you might still need to change the font.

I'm not so sure about the assumption that the error is with Adobe Reader, but I see what you mean.

Anyway, I can't repeat the problem in a simple way: when I just create a document with a few words in the header and a few in the body and make it all Centaur, the PDF that Word creates is good. So I don't know what to report anymore!

I have found the option that is causing the PDF text to not be recognized: when saving as a PDF, there is an "Options" button; click it. If you remove the check mark in the box for "Document Structure Tags for Accessibility", the PDF works fine in Adobe Reader as well!
