Default Help with Raffle Tickets in Microsoft word

I have downloaded a pre-fabricated template for generating my own custom raffle tickets in microsoft word. Here is the page with the files

They are very slick. One word file with the template corresponds to a data file in word with the following format

stub, ticket

1,1
2,2
3,3
4,4

etc

4998,4998
4999,4999
5000,5000

The ticket numbering only goes out to 5,000 tickets. I need it to go out to 30,000 or more if possible.

I found a # sequence generator that can give me one column with the sequence out to whatever I need (say 30,000) however, I can't get a duplicate number. I need the ticket and the stub to have the same number.

The problem is the comma and second duplicate number. Is there a sequence generator that can produce such a list?

I don't want to have to data entry to finish each line. Will take forever. Is there a way to get a same, same format in microsoft word. I have used a sequence number generator to get a list. Its the comma and second duplicate # that is the problem.

There has to be a trick to get the format for the data file. Please help.

Hi Chestore,

Given that Word can support 2,147,483,647 SEQ fields, the whole job could be done in a single document containing 30,000 tickets. On my system, creating such a document took only a few minutes and, once created took about two minutes to update the fields - and that was with about 40,000 pairs of SEQ fields coded as {SEQ Ticket \# 00000} and {SEQ Ticket \c \# 00000}. This number formatting is enough to go to 99,999 tickets.

Alternatively, you could combine a SEQ field and a FILLIN field for the starting # (or, say, an alpha prefix) have have a document with fewer fields and simply output the tickets in batches.

Hi Chestore,

Create your first ticket, without the numbering. Then where you want the number to appear first, press Ctrl-F9 to create a pair of field braces (ie '{}') and fill in between them so that you get '{SEQ Ticket \# 00000}'. Then, where you want the duplicate number to appear, create another field and fill it it so that you get '{SEQ Ticket \c \# 00000}'. From there it's mostly just a matter of duplicating the whole ticket however many times you want. When you're done press Ctrl-A to select the whole document, then press F9 to update the fields.

Thanks I have my word ticket page set up with the code you gave me. Thank you in advance. I need to set up the mail merge so I can print blocks of tickets off as I need them. How do I go about setting this up? Do I have to have a stub, ticket format like the original ticket format?

Hi Chestore,

The process I've given you has nothing to do with mailmerge - it's completely independent and, hence, much simpler. If you want to be able to specify the starting # for a block of tickets:
• select the first Ticket # field and press Shift-F9. You should see '{SEQ Ticket \# 00000}'
• after the word 'Ticket' insert another field via Ctrl-F9, so that you get '{SEQ Ticket { } \# 00000}'
• now edit the field contents so that you end up with '{ SEQ Ticket \r {FILLIN "Starting #?" \d 1 }\# 00000 }' (note the ' \r ' after 'Ticket'.
• Press Ctr-A, then F9 and input the starting Ticket #.
If your document has, say 1,000 tickets, then inserting a starting # of 15001 will update the ticket #s for the 15001-16000 range.

Any time you want to produce another batch, open the document, press Ctr-A, then F9 and input the starting Ticket #. Simple. Alternatively, if you have Word configured to update fields at print time, just print the document. When you do so, you'll be prompted for the starting # and Word will take care of the rest.

I have

SEQ Ticket /c/ # 0000

the /c/ this helps it keep the stub and ticket the same #. I have 4 tickets and 4 stubs per page.

I get a bookmark error when I try to put in the code. Does it have to be #5001 if I want to start at 5001 or just 5001 in the SEQ code?

Do you have to have the ' ' around it all.

Hi Chestore,

I'm not sure what you're doing - the '/' should be '\' and the very first ticket # should not have the '\c'. See the attached. It has the FILLIN field in the first SEQ field as described in my previous post. Simply press Ctrl-A, then F9, input a starting # and all the tickets will update.

I'm getting a bookmark is undefined error. I think I have all the code right. Here is my file. 4 tickets per page. Let me know if you find an error

You've deleted the '\' for the number format switch. You have '# 00000'; it should be '\# 00000'.

I fixed it I think and still get the error. Can you fix it for me. I don't know why it won't work. It says bookmark error

Hi Chestore,

Now you've got the '\' switch for the '\r' switch the wrong way around. Why did you change it? You really ought to pay more attention to what you're doing.

You could have simply copied and pasted the field from my document into your's and you wouldn't have had any of these problems ...

Hi macropod:

I have attached a file I am attempting to configure with sequential #'s. I have (I think) placed the switches and other codes correctly, but the numbering is a bit screwy. Will you take a peek and let me know your thoughts?

The problem with your document is that you have put everything into textboxes instead of into the table cells you have below them. You also don't need the \* MERGEFORMAT switch that every SEQ field in your document now has.

Thank you again for your assistance. I took care of the text boxes and everything works quite well. I had some aggravating moments trying to figure out where the \* MERGEFORMAT switch was coming from; I kept deleting it and it kept coming back like a mosquito. I assume it had something to do with the text boxes. Anyway, the document is now a thing of beauty. Thank you.
