Default Page numbering

Windows 7 + Office 2007



I wish the following to appear in the footer of each page.

Page # of # (as I can easily do in Excel)

However, I cannot find this mechanism anywhere? Page numbering only will insert 'that' page number and has no option for 'of total pages?'

Hi Mark,

You can go to Insert|Header & Footer|Page Number|Bottom of Page, then scroll down to 'Page X of Y' and insert one of the pre-formatted schemes.

Personally, though, I prefer to do it by direct entry:
1. Open the footer
2. Type 'Page of'
3. Postion the cursor between 'Page' & 'of'
4. Press Ctrl-F9 to create an empty field and type 'PAGE' between the field braces, so that you end up with '{PAGE}'
5. Postion the cursor after 'of'
6. Press Ctrl-F9 to create an empty field and type 'NUMPAGES' between the field braces, so that you end up with '{NUMPAGES}'
7. Select both fields and press F9 to update.

Note: If you're using a Section break to separate the 'front matter', without page numbering, from the rest of the document, you might want to:
a. unlink the first numbered page's footer from the previous one - before starting the page numbering
b. code the second field as 'SECTIONPAGES' and
c. format the page number to start at 1, rather than the default.

I used the first blank text footer template for the SAVEDATE which placed the 'Last edit:...' at the left. If I want to insert the page of page at the right footer margin how do I get the cursor to move from where it wants to be at the end of 'Last Edit?' I think Word Perfect had a 'flash right' command that did so. I know I could tab over to the right but that doesn't feel as if it's the correct method.

Hi Mark,

Insert a single tab character after the SAVEDATE field, then insert the 'Page X of Y'. Then format the paragraph with a right-aligned tab-stop however far across you want it to be. The 'Page X of Y' will now align itself to the right-aligned tab-stop.

Three questions--

1. Although I've created a Page x of y using your preferred model, how does one insert the Page x of y from the dropdown listing without the result blowing away my current SAVEDATE?

2. I've done as you suggested using FIELDS for Page x of y having tabbed once after the saved date and before starting Page. When I select the entire line (SAVEDATE + PAGE) and right align the SAVEDATE is in the middle. Is there a way for the SAVEDATE to at the left and the Page at the right other than trial and error adding tabs?

3. If I now want to increase the 'air' between the last line of page text and the footer text, which margin do I increase or decrease?

The dropdown options take a fairly simplistic approach and assume they're all you want. So, if you want both the SaveDate and Page X of Y numbering, you'd need to insert the latter first if you're going to use the dropdown.

Whilst in the footer, click on the 'Home' tab, then choose Paragraph > Indents & Spacing > Tabs. Insert a suitable value in the 'Tab Stop Position', clcik on the 'Right' alignment, then Set > OK.

Attached is a demo document, with a Table of Contents, various paragraph Styles, and a footer along the lines of your description - with the page numbering starting from 1 on the second physical page (so that the 'front matter' page(s) are not included).

Just as I received your email reply notification I was editing my message/question on the board. I was (for a change) making a big thing out of a small one and of course realized the what and where of the right align command!

Plus, you'll notice that I sneaked in another question in the edited message ;-)

Hi Mark,

You can increase the size of the bottom margin. Formatting the footer paragraph with more than the default 'before' space is probably what you really need, though.

Two things about your attached demo doc (and thanks btw).

I think I might really find styles handy if I can just overcome my irrational dislike for having to use the thing ;-). Since styles as it pertains to my recent flurry of posts is the last open question, I will proceed with Paul's links.

As opposed to the spacing between text and footer that I referred to in my just edited post in this thread, the 'air' is just perfect (for my taste) in your demo doc. Might I ask what values you used for where or how I can 'see' those values myself and then use them for my document?

I double clicked the footer to be in the footer. Then went to Page Layout, page setup but the margins appear to be those for the entire page and not for the footer? Where did you find the 'add space above'?

Hi Mark,

The demo document has a 2.5cm (1in) bottom margin, with the footer starting at 1.25cm (0.5in) from the edge. Nothing else special has been done in the way of footer formatting. Rather than playing around with the footer paragraph spacing, you may prefer to take the same approach.
