Default Easier way to populate Building Blocks/AutoText?

I had the inspiration to add the top 50-80 client addresses as blocks of AutoText.

Currently, I have a few things in AutoText specifically (though I do use other QuickParts like headers and footers, and I really like how convenient it is to drop in that information.

Is there a shortcut that gets around having to individually highlight each address block and save to AutoText?

Alt+F3 is the general way to add, but, as you have noticed, it requires you to select each thing to be added. Since you are assigning a name and category to each entry it is hard to get around this.

Take a look at Greg Maxey's page on Building Blocks & AutoText. He includes an Add-In that lets you load building blocks including AutoText from a Table. You can choose one gallery at a time and load in different categories with individual names. The entry is in one column, the name in a second, and the category in a third column of the table.

Graham Mayor has a different Add-In. Create autotext entries from a Word table by Graham Mayor, MVP. Graham's is simpler but does not allow for addition of a category. It is more designed for pre-building blocks AutoText, in my opinion.

To use these addresses, assign them to a particular category and/or style and look at the Building Block Gallery Content Control and AutoTextList Field.
See my Building Blocks Gallery Content Control and AutoTextList Field Comparison and Demonstration.

Thanks for the wealth of information, Charles. I looked at Mr. Maxey's add-in, and it's really robust. Probably more than I need for everyday, but I do like that import feature. The reason I wanted to do AutoText is that I really like the autocomplete option from there. Plus, I sometimes work at another desk, and since I sometimes copy my Normal.dot template back and forth, that helps that AutoText can reside there.

Been getting the chance to play with stuff that will hopefully make my life easier around here.

  1. For portability, store your building blocks in independent Global Templates. Where can Building Blocks be stored?
  2. AutoComplete will work with any kind of building block if stored in Global Templates and not in the Building Blocks.dotx file.
  3. AutoText is the only building block supported in the Mac version of Word.
While I use Greg's utility, and really like it. I load it as an Add-In when I want to use it rather than having it load automatically.
