Default Heading Styles and Numbered Table Linked

I create manuals and always use multi level numbering, I have headings that usually go up to 7, in the sections are tables which contain document names. so my heading would be 7.5.1, then in the first column of the table is 7.5.1.1, then the document name, then the next row is 7.5.1.2, what would be really useful is if I could link the two, so that if 7.5.1 heading had to become 7.5.2, then the 7.5.1.1 numbers in the table would auto populate to 7.5.2.1, as I often have to move the headings as they are listed in alphabetical order so when I'm finished and there is last min changes, I then re do the numbers in the tables as they do not match the headings. (if I know I am going to have no more that three headings then I can use heading 4 for the tables that are in heading 3 which works..

If you use automatic paragraph numbering or bullets read Shauna Kelly's directions on numbering and bullets. Start with How to create numbered headings or outline numbering in Word 2007 and Word 2010. For large documents you must follow these directions or you will lose your hair!
(Mac version: Outline Numbering in Word for macOS - Best Practices - Brandwares)

This may seem a bit convoluted at first, but it really is not. Just follow the steps. Shauna Kelly's instructions use the built-in heading styles, but you can use any existing paragraph styles including your custom styles. There are, however advantages to using the built-in heading styles when you create a Table of Contents. Here are some more advantages: Why Use Word's Built-In Heading Styles? by Shauna Kelly Note, you can modify these built-in styles to look exactly the way you want.

If you want, I can provide links to videos demonstrating setting up numbering linked to styles.

The basic idea is that the numbering is set using the Define MultiLevel List dialog with each numbering level being attached to an existing paragraph style. Once you have this set up, you should not use the buttons for numbering in the Ribbon but rather apply the appropriate style for that level.

You can save a document with this as a template for future documents if you want so you will not need to do this every time.

I have watched the videos and read the document by Shauna, I am familiar/use with what the creaters have produced, unfortunately they did not give me the result I was hoping for. My docs can have sections from 1 to 34, comprising of write ups and supporting documents.

Not all sections have these. So in a 1 to 10 manual only sections 7.5, 8.0, 9.0 and 10.0 have supporting documents that are listed in a table, the first column of the table is numbered as a continuation of the section number, so section 7.5.1 the table numbering starts as 7.5.1.1, next row 7.5.1.2. Section 7.5.2 the table is 7.5.2.1 and so on.

Now what I need to do is move the sections down as I have a new subject that is now the first subject is 7.5.1, so the original 7.5.1 is now 7.5 2, what would save me time is that the numbering in the table will auto populat so it would now be 7 5.2.1 and so on, the same would apply to the original 7.5.2, which is now 7.5.3, and the table numbering would also auto populate to 7.5.3.1.

It would save me so much time as I can have a lot of tables in sections and subsections.

How are you applying the numbers in your table?
If you are using a numbered style that is part of the same List Style as your headings for the numbering in your table, then it will update automatically.

Hi, I set up my section header numbering in Define New Multilevel list. Then the numbers for the table I have used a separate style but as the manual was so huge nearly 3000 pages I changed to using numbering next to the icon for Miltilevel list as I started to get issues.

The numbering in your table should also be in styles that are part of the same MulitLevel list.

You use levels 8 and 9.
You can have the text look how you want.

Each level must be attached to a unique paragraph style. Those styles do not have to look any different. The indents can be the same for both of them and you need not have indents at all.

=====================================

I am seeing 4 levels in what you posted, but you may be using other levels for something else. That you want your seventh section numbered 7 does not mean you are using seven levels. That number is your first level. The 5 in 7.5 is at the second level. The 1 in 7.5.1 is the third level.

Iawn
If you post a sample document which includes the style settings and sample tables that you currently have we can explain exactly the steps you need to take to set up the styles correctly.
