Unhappy Heading Styles - Restart Multilist

Hello Word Thread!

I'm losing my mind with this one!!
I have a template where I have styles for Headings 1, 2, 3
I have have a Multilevel list Name list paragraph, I want the list to restart after each Heading. So in the example below 4 in Heading 2 should really be 1. and so on.
I have a document that this happens in some cases and it others it doesn't. Does any one have an idea? Where I can start!

Heading 1
1. Test 1
a. Test 1a
2. Test 2
3. Test 3

Heading 2
4. Test 4 SHOULD BE 1
a. Test 4a
5. Test 5 - SHOULD BE 2
6. Test 6 - SHOULD BE 3

Heading 1

7. Test 7 - SHOULD BE 1
a. Test 7a
i. Test 7i

If you use automatic paragraph numbering or bullets read Shauna Kelly's articles on numbering and bullets. Start with How to create numbered headings or outline numbering in Word 2007 and Word 2010 For large documents you must follow these directions or you will lose your hair!
(Mac version: Outline Numbering in Word for macOS - Best Practices - Brandwares)

This may seem a bit convoluted at first, but it really is not. Just follow the steps. Shauna Kelly's instructions use the built-in heading styles, but you can use any existing paragraph styles including your custom styles. There are, however advantages to using the built-in heading styles when you create a Table of Contents. Here are some more advantages: Why Use Word's Built-In Heading Styles? by Shauna Kelly Note, you can modify these built-in styles to look exactly the way you want.

The basic idea is that the numbering is set using the Define MultiLevel List dialog with each numbering level being attached to an existing paragraph style. Once you have this set up, you should not use the buttons for numbering in the Ribbon but rather apply the appropriate style for that level.

You can save a document with this as a template for future documents if you want so you will not need to do this every time.

Thanks Charles!!
Shauna Kelly is like Word Royalty!!
I used her instructions when I created this template. My document is about 700 pages complied. I have it sperated by Chapter to manage. We update it quarterly, and publish one giant document. It looks like I have multi lists going on.
The link you provided about large documents is broken. I think it may be helpful

Thanks again

The "broken" link is only for macOS. You want the link to Shauna Kelly's site for Windows.

That link was only about the Mac version of Shauna's instructions. It is a https site now and your browser may have blocked it rather than forwarding.

If you are having problems, chances are good that you have multiple lists in your document. Make sure that it is correct at the beginning and then go through the document and reapply the heading styles as needed.

Extactly Charles Kenyon!
One of my Chapters has multiple lists in it. There is no way to delete lists in Word? right

Just for clarification - I'm not suing a numbering in the Headings, I'm using Words built in multilist that I have attached to the List paragraph style. I want that list to restart at 1, whenever a heading style is used.

In the past we have done the numbering of the heading and it was a lot. We moved to a simplier approach. Some of my document has this working some of it doesn't. I was going to start a fresh document, but I can't seem to be able to get this retart list going.

I know i'm close but may not be asking the right question.

To restart the numbering after a heading, the heading style must be included in the List Style. Numbering can only be restarted automatically by following a paragraph of a higher level iin the list.

You don’t have to assign a number to the heading, it just needs to be attached to the first level of the list.

Again, look at Shauna Kelly's work. You need each list set up that way with each level attached to a unique paragraph style. You do not want any style attached to more than one level or more than one list.

You do not need to be using the built-in heading styles.

The out-of-the box lists should not be used in any complex document. The technical term for this: "Spaghetti Numbering."

Thanks @Charles Kenyon and @Italophile

After much analysis! I'm still in the same place! Stuck with a number of documents with the potential of "Spaghetti Numbering"

Background:
I used Shuna's instructions almost 10 years ago. We set up Headings and numberings that looked amazing in my companies requirement documents. The problem was that we had to many levels. So if you had a requiremeent that was 5 levels in it would look like this 1.1.1.1.1. Text, the amount of real estate that it used up was overwhelming. We decedied to abandon that formatting for a much simple approach and my users have have very happy!

Today We use Heading 1, 2, 3, 5 they are used to seperate Chapters and Sections, its very straight forward. In side each heading we use the built in List Paragraph, (we did this to keep it simple). It's been working pretty well. The number one gripe I get is that, why doens't it automatically restart numbering after a heading style?

But after much reading and your advice. I've concluded that restarting built in List numbering after a Heading is not possbile. There is no way to create a style that would do this (at least that's what I think). If someone has any idea please give
me clue!
Happy Documenting Everyone!

You assign that heading a top level in your list. It need not have a number but must be above the others in the MultiLevel List.

You just need to create a List Style following Shauna Kelly's instructions with settings similar to those shown below.

I don't recommend including your list numbers in the same outline list series as the headings. What happens if you need appendices or you have more than one list in a section without a Heading in between?

I think you get a lot more flexibility by setting up the List Number series as its own outline list. If you want to have it automatically restart with each new list, link the level one style to your body text style (eg Normal). Don't include numbers on that level one style so that the List Number is linked to the second level so it restarts after the Normal style has been used.

As other contributors have said, to restart a particular list item/style, it must be added as a lower level in some multilevel list.

If possible, an alternative is to set up a sequential list using SEQ fields; these can be restarted by a specified heading level. Word makes use of this when you define captions that include chapter numbers.
