Default Embed the same Excel multiple times

Hello,

I have an Excel file with multiple tables and charts in it. These tables are linked with each other. So if I change one of the tables the others will change as well. My plan is now to embed this Excel file into a word document in a way that the different tables are presented in different chapters in the Word document. But I want to maintain the link between the tables. This means: I want my users to open the Word document, go to the embedded Excel to change the numbers. As a consequence all references of this Excel in the Word document shall be updated. With this I only have to provide them one template to work in.



What I have managed to do so far: I copied a part of the Excel and with past special I could embed a Excel Worksheet Object. Result is that a picture of the copied area is pasted into the Word document. I can click on that picture and I can change the entries in the Excel. When I now leave the Excel the picture is updated. Exactly the behavior I am looking for. I can repeat this and paste multiple areas of the Excel file into the Word document. However, these are not connected. So, if I click on one picture to change data in the Excel only the data for this picture is changed and this picture is updated, but not the data for the other pictures.

Is there a way to base all these Excel Worksheet Objects on the same data basis?

It appears that you can't do this in Word because you are embedding the Excel ranges in the Word document. If these charts and tables were linked to an external Excel document it would work but it appears to not work with Embeddings.

I tried a method that works with graphics - insert the graphic once, then copy and paste it within Word. This creates a single copy of the graphic in the media folder within Word. However, using this same approach with an embedded Excel file gives me duplicates in the embeddings folder - so that isn't going to work.

Is there a reason you can't link to an external Excel file as your source?

The interesting thing is that this approach does not only embeds a range from the Excel but the entire file. If I open the embedded file to edit the values I have access to all the data, even on different sheets.

I plan to provide this Word document as a template to my colleagues. The are supposed to create a copy and fill the relevant parts. If I link the content to an external Excel file my colleagues would have to create a copy of the linked Excel as well and ensure that the Word document is linked to the right Excel file. This is extra work for them and these are extra potential error sources. I like to make their life easier and not harder. Today they have to fill the Word and the Excel file as well as ensuring that they copy past everything correctly. The idea for the future is to have only one file to deal with.

This is an interesting puzzle and there must be a solution to achieve the aims. Perhaps embedding the changeable data as xml and then have a macro create the set of output tables and charts.

If documents were created in pairs you shouldn't need to re-paste the content, just update the path to the Excel file would be the simpler option.

Can you post a sample document we could do some experimenting on?
