How Do I Control Paragraph Spacing in a Numbered List
Within a Word Docx, I have created a customized outline to help organize a large non-fiction book. As I scan through the outline to add new points and references I want to be able to make certain levels more easily seen without using huge fonts.
I have tried working with Styles, creating and managing styles, and every time I go back to the list the paragraph spacing fails to reproduce when I create a new line at that level. Is there a command somewhere that can free up numbered lists to accept paragraph spacing changes and reproduce them perpetually for that level? Or, is there a more sane work-around than trying and failing in Styles? Is it possible to import a document template with the capabilities already inherent? Just feel this should be simpler and easier. Thank you for any and all help. |

Thank you, but I have tried that process several times and found it did not carry over to the perpetuating feature I am looking for. I may have missed something or made a mistake. Are you sure it will work? Isn't there a simpler solution using commands?

Is it possible that your paragraph style, in the paragraph formatting dialogue, has the "Don't add space between paragraphs of the same style" box checked? This is a default for Word's built-in List Paragraph style.

Define a paragraph style for each level of numbering (see How to create numbered headings or outline numbering in Word 2007 and Word 2010 | ShaunaKelly.com) and also clear the option "Don't add space between paragraphs of the same style" for each paragraph style you are using with numbered items.

Missing steps
I'd be interested to know what the missing steps are. The late Kelly's site is the gold standard. I have never experienced any problems with instructions there.

Are you saying that you believe that other steps are missing from the shaunakelly.com article? Feel free to elaborate. :-)

Addressing Small Discrepancies To You Both
I hope this is okay.

_________________________________________________ With my full respect for both Shauna Kelly and your suggestions to rely on her article, I offer these reflections upon my experience in service to answering your questions. And, yes, upon a third time through her tutorial (combined with my own research and trial efforts) I was able to accomplish something that I had been unable to do on my own for a long time--several years, in fact. Her teaching, while knowledgeable in her area of expertise, is lacking a good understanding of learning cognitions. Nothing wrong with that. It just threw me off in some places. What I mean is that the guiding process of a user tutorial should follow the natural experience of the fresh-eyes newbie and add insights and answers to normally asked questions. This is difficult for SMEs because they know so much. For example, upon entering into the Modify process there is a clear and confusing option to choose that I never found her to address clearly. At the bottom of the page is a choice between "Only in this document" and its alternative, "New documents based on this template" with no clear instruction as to which way to choose. It also shows up in layers and I had no idea if one overrules the other, cancels the other, or works in cross-tandem. There is also a field for choosing the "Style for the following paragraph" and I ended up having my entire Multi-level list looking fine until I tried hitting enter to get another numbered line at the same level. What I needed to do was go back and tie each style to follow itself with the same heading style. Another thing that came up was the command to "Disable linked styles" since I was in fact linking styles in both the modifying process and in the multi-level list development process. Sometimes these commands cover many macro aspects of the legacy touchpoints. With no instruction about it I left it alone, but the fact it seemed applicable and was ignored decreases the trust factor--"what else is being left untold?"--for someone who has been through it twice and failed both times. She strongly advocated using existing styles and modifying them without mentioning if my changes would either be lasting beyond this document, need to be made permanent, or would impact the ability to use those styles again in the future in their original form. In fact, it would be easy to create new styles and choose "New documents based on this template" to avoid all that confusion. Again, this points toward her knowledge of WORD (much thanks and appreciation to the late Shauna Kelly) and her lack of knowledge of instructional/cognitive learning strategies. Another aspect of the "New documents based on this template" dilemma is wondering which choice will impact the availability of the newly defined multi-level list for future new documents. I.e. Will it be available in the gallery of lists permanently or will I have to store it in a document template and access it that way? There were other moments of disconnect and confusion (probably only for me) and they are too tedious to add here. I admit to being an ignorant newbie when it comes to styles, and her tutorial definitely aided me in achieving what I wanted to create. Your endorsements helped me to try again and learn whatever I need to fill in the gaps, thank you. I am thrilled with my progress and results. I am grateful to Shauna Kelly, you two, and the MS Office Forums for helping me. I am not adding all this detail out of frustration. Far from it. I am simply trying to complete the communication I was asked to offer. I hope this will suffice. Thank you again. Be well. Steve |
