Hello this is my first post on the forum, I consider myself a decent office user until I came across with this problem.
I have a document that should be templated like this: 1. First title 2. Second title ..... Appendix A - First appex Appendix B - Second appex ...... and so on.... With captions for figures and tables linked to the chapter number, such as: Table 1-1 Table 2-1 Figure A-1 Figure A-2 I was cracking my head trying to define a multilevel list, or maybe use two list styles (not sure if this is possible) which allows me to reset the numbering and changing it for letter for appexs. Important thing to consider is that headings when I create the PDF file should be listed at the same level for Heading 1 and Appendix. I've seen some workarounds for doing that using styles 6 and 7 for appendix, but that will end with appendix inside last chapter (belonging to Heading 1) on the PDF. There is any way to combine numbers with letters and using captions with the correct chapter number/letter? Thanks in advance. I attach a normal file with what I expect if it is useful. |

There isn't a perfect answer to your question so you need to work out which method you prefer.
Option 1: Do the Heading 6/7 workaround that you already read about, then after the PDF is created, relocate the Bookmark levels for the Appendices. This option gives you a lot more functionality in terms of captions and page number fields which include the appendix levels. Option 2: Make a new series of styles for appendix headings which are numbered independently of the Headings. Include in the style paragraph format settings that the outline level is '1' for Appendix 1 and '2' for Appendix 2 styles. This option won't have the same functionality with page numbers but won't force you to update the PDF's bookmarks every time you export to PDF.

Thank you for the reply.
But in the second option, how could I set the captions to include the paragraph number (A-1) if Word only allows me to use Headings 1 to 9? Using this method I will have figures numbered with the last paragraph used with Heading 1. |

You can have custom styles for your appendices and attach them to a separate multi-level list. You will need to add those headings to your TOC. I am unsure whether the custom styles will be included in pdf bookmarks. I suspect it depends on both the method of creating the pdf and options set. Keep in mind that in using custom styles you will give up the advantages of the built-in headings. Why use Microsoft Word’s built-in heading styles? by Shauna Kelly I have not tried it, but it may be possible to create custom styles based on the built-in headings and retain some or all of those built-in headings. To try this, you would want to create headings 1m-9m based on headings 1-9 and headings 1a-9a also based on the built in headings. Then have one multi-level list attach to the main headings 1m-9m and a second list attach to the appendix headings 1a-9a. |

Your sample document had hard-coded captions so that is one way of doing the caption numbers. If you want to use fields to reflect the appendix numbers then you will need to fiddle with field codes so that the entries in the appendices look like this Figure {StyleRef "Appendix 1" \n \t}-{Seq Figure \r 1} Figure {StyleRef "Appendix 1" \n \t}-{Seq Figure} Figure {StyleRef "Appendix 1" \n \t}-{Seq Figure} Then after each new Appendix starts, the first instance of "Seq Figure" needs to reset the starting number again with the \r 1 as shown above
