Sticky problem - fonts embedding in Word-to-PDF
I was just recently asked to investigate an issue with a report which apparently had some fonts in it which were unacceptable to the ultimate client. Some of the fonts were in our CAD sheets in the document, but my stumbling block was an unwanted instance of ArialMT embedded in the Word document itself when it was converted to Acrobat. I should add that I have Word 365 for Windows 10. This was a report that was created last year, before we upgraded to 365, though I'm not sure that affects this.
After considerably slow process of elimination, it appears to have come down to the bullet points in the list paragraph style employed in several sections of the document. What I can't figure out is where ArialMT comes into play. The actual round bullet appears to be a Webding or Wingding character. The Style for List Paragraph displayed a default font as "+Body" (not sure exactly where that derives), and even after I manually changed that to Calibri, to match the rest of the report, I still ended up with ArialMT embedded in my PDF. It was only after I removed the bullets and manually added the round symbol in its place in every instance that I got an ArialMT-free PDF. It's the first time anyone's flagged our reports for an unapproved font like that, but I'm trying to get ahead of the game in case it starts happening over and over. Is there a way around this using Styles? Incidentally, I tried going in to Acrobat (I have X Standard which isn't exactly top of the line) to see if I could remove the font, and also into the Convert_to_PDF settings to try to block ArialMT from being embedded that way, and no joy. I'm wondering whether anyone has had a similar issue and found a simpler resolution. Thanks, Ann |

Probably unrelated, but since you never know … Illustrator appears to let you select Arial as the font for a text string, but when you scrutinise the .svg output you discover that it's Arial MT. On the other hand, I haven't hit any problems because of referencing Arial MT in a .pdf

I, too, have been having the same problem. I recently wrote a 300-page book. I tried to upload it to Barnes & Noble, but it wouldn't take it because the fonts in the PDF weren't embedded. (Amazon's set-up automatically embeds them for you.) So, when I checked to see what the problem was, it was the ArialMT font, which stymied me, because I wrote the entire thing in Bookman Old Style. I combined two PDF sections together for the completed book -- the first nine pages with the title page, copyright info, table of contents, etc., and then the actual book, beginning with the first chapter. I was able to narrow the problem down to the first nine pages. Your comment about bullets was the lightbulb moment for me. At first, I thought, "But, I don't have any bullets!" Then, I remembered that I did -- I had mentioned three points in my Preface, and I numbered them 1, 2, 3. There you go. Once I took care of that, no more problem. That'll be good to remember, as I am pretty certain this won't be the only time I'll have to mess with it. Thanks.

Wow, I'm glad you figured out that issue, Pippin. This just prompted me to show my new coworker what was going on with that and we ran a test on our standard report. Same issue, unexpected ArialMT showing up in the PDF. When we pared it down to a few pages with bullet points, still there. So then manually replacing the bullet points with a tab, round filled-in symbol, and tab (which could easily be made into a macro to replace the existing ones I guess) did the trick.
Fortunately none of our clients, nor the municipality that originally flagged the unapproved fonts, has since raised this issue again. But at least we know what to look for. - Ann |
