Default Restoring AutoTexts in MS Word for Mac

I have used MS Word for 20-something years and have a huge Auto Texts list. Tuesday my computer had a "problem" and my solution was to turn the power off. When I came into office to work yesterday morning, I found that MS Word (2016) did not have my customized Auto Texts list. I have tried a restore from my TimeLine; and also opening MS Word from a an old NORMAL file (saved on a flashdrive) from my laptop (using MS Word 2004)…multiple times. I open MS Word with the NORMAL, I can see my Auto Texts. I have also tried, after opening MS Word with the old NORMAL file and using the building blocks transfer the Auto Texts into the NORMAL.DOTM file. It says it is doing it (all except about 40, which it says it cannot do)…but when Then I QUIT out of Word (saving the practice document) and open MS Word via icon on the dock again (or by opening a saved file) I still do not see I see my Auto Texts!!!

Please help!!!

The default location for storage of AutoText is the Normal template.
I would suggest that when you start Word using the icon, it is not using the template with your AutoText.

Here is how to find which normal.dotm template is being used:
Where is the Normal Template / How to Find the Normal Template
(Use the vba method.)

When you open Word using the Icon, you should be able to use the Organizer to copy AutoText from an old normal.dot(m) file or other template.

Thank you for your response!

If I open from the icon, how will I access the old normal? Also, what is "vba method"?

Charles Kenyon

*excuse my question about vba…I saw the answer when I opened the link you sent. Since I am on a Mac some of those suggestions are not viable…or are they?

I can easily find my Normal Template by doing FIND…then I open the Templates folder so I can see the NORMAL.DOTM file…and have been working in that manner.

You said you have a version of the Normal template with your AutoText. Do not copy it over the one you found. Instead, start Word. Then use Organizer to open the old one and copy the AutoText.

Charles, thank you again sooo much!!!
Yes, I have a "normal" from the Word 2004 and when I double click on it to open Word 2016, I can see my Auto Texts in it. I have then tried using the organizer and it tells me all but about 40 Auto Texts will copy (from left side to right side). that is great considering how many I have…I can easily recreate 40 instead of the hundreds I have.

After completing that, I closed the window. I quit out of Word and then opened it up again…only to find my Auto Texts are not there!!!
Really frustrated that what should work does not seem to be working…or maybe I am missing a step or something.
Thanks again for your assistance!!

Rename your old normal to normal2004 or something like that. First open Word, without doing anything with that file. Then open it or create a new document based on it. Try the Organizer again.

This time, before you close Word open the normal template for editing. You can do this in the vba editor by typing the following in the immediate window:
Application.NormalTemplate.OpenAsDocument

Then type the letter A or something else and delete it. Do not use UnDo. Save and close the normal template and close Word. Reopen, then you should find your AutoText.

The reason I gave you this complex procedure is I suspect something is preventing saving changes to your normal template in the normal course of using Word. That is a topic for another day.

Charles, thank you again for trying to help me. I have read your comment and feel I have done that…but will definitely try again…step by step. On my Mac, I am not sure how to access the VBA. I looked at the instructions again from your first reply to me and cannot access the VBA via pressing the ALT+F11 key on my keyboard (I am using a Logitech wireless keyboard connected to my Mac…but that key combination does not take me to VBA). Please advise and I will definitely try these instructions!!

Try:
  • Opt+F11
  • Fn+Alt+F11
  • Fn+Opt+F11
  • Go to the Developer Tab and look for "Visual Basic."

My reply did not post earlier…trying again…
Charles, I cannot tell that any of my F keys work like a Windows F keys…I tried the Opt+F11 and it controls my volume. I don't see a Fn key on my Mac keyboard…I have control, alt/option, and command keys on my Mac keyboard. I tried various combinations of them with F11 and still don't get anything. I searched HELP for Developer Tab and was told to:
Select Customize Ribbon.
Under Main Tabs, select the Developer checkbox, and then choose OK.

I am totally lost…under the FILE tab at the top left of the Word screen, I do not see an OPTIONS tab to access the Developer Tab to search for "Visual Basic."

Developer Tab:
The help you found was for the Windows version. See this page instead:
Show the developer tab in Word - Office Support

I do not have a Mac so am working from memory of what I may have seen.
If you have an up-to-date version of Word for the Mac 2016 you should have access to the developer tab.

Try Word > Preferences instead of File > Options.

Here is my page on the Developer Tab.

Keyboard Shortcuts:
Mac Keyboard shortcuts in Word - Office Support
Switch between all field codes and their results. Option+F9

Sometimes the operating system or other programs hijack these key combinations. You'll have to take that up with Apple.

I am trying!!! And so appreciate your sticking with me!!!

I found under Word > Preferences > View an option to show the Developer Tab.
I clicked on that and how see Developer on the ribbon above my documents. When I clicked on visual Basic, it opened something called Microsoft Visual Basic - Document1.
I do not see a window called Immediate to type in any commands…the window I see says Properties - ThisDocument and what is entered is ThisDocument Document.

I have started recreating my vast Auto Texts as I need each one while I type…I sure don't want to lose what I have already spent time on…but it is not a drop in the bucket of what I lost.

When you are in the Visual Basic Editor, there should be a View menu. Try that to see the Immediate Window.

Thanks again, Charles, for hanging in with me. When in the Visual Basic from the Developer Tab in MS Word for Mac, I see:
• Project-Project and it lists Normal, several Projects, and several Templates
• Properties-ThisDocument (in that drop down it has 1 entry (ThisDocument-Document)
• A window that shows "Name" and ThisDocument, which lists many items and "false," "true," or numbers, etc (can be sorted alpha or categorized).
That is all I can see

Another thing that has happened (I am trying again to see if it happens again) is that the Auto Text entries that I am entering again manually are not visible or accessible me after I Quit Word and open it back up (the size of the Normal file is also decreased when I open again vs when I Quit it). I am really getting scared…like nothing I do to add them back in…they will disappear again!!!!
