Paste client's annex without any changes
Hi there
Our clients usually give us a long document in DOCx format. We work then on a cover page, put a section break (due to footnote renumbering) and add their DOCx as an annex. We are only paid to do the cover page. However, when we paste the annex, we noticed changes in numbering and formatting. Reason for that is that clients' annexes are badly formatting and our cover note as style with automatic numbering. I was asked for a solution. That is basically a solution that would allow us to copy the client annex without interfering with its content. I suggested the following for the time being, that is to ensure that the cover page only has Normal style and no automatic numbering, this will ensure that styles in the annex are changed after copying the cover note. But I am sure the MS Word may have other solutions; I am thinking of the following ones: - Is there any special paste feature that paste content as a "block", that is independent from previous content to ensure that pasted content doesn't change - Ask the client to give the annex in PDF and insert the annex as images Thanks a lot |

Why would a cover page have content that messes with the client's automatic numbering? Moreover, I can't see how adding a cover page would affect the formatting elsewhere in the document. Perhaps you can explain what exactly you are doing. In any event, why are you adding their document as an Annex rather than adding your cover page to their document?
That aside, you might try inserting the client's document as a link, via an INCLUDETEXT field with the \! switch. See: Field codes: IncludeText field - Office Support

Word documents are formatted based on all the style definitions. If you are adding the existing document to your Cover Page document then you need to firstly ensure that both documents share the same style definitions.
It would be smarter to paste your cover into the Annex document rather than the other way around. Or build your cover page after importing all the styles from the Annex document.

Thanks for your reply Macropod -> It does happen and it's due mainly to a) different editors working on the document at different time and doing I don't what; b) editors have no knowledge of styles and having paragraph with funny styles. I have tried a basic copy and paste of the annex into a new document with a cover page and it does mess up styles (e.g. an empty paragraph marked as list paragraph but without numbering will get a number). Guessed ->Totally agree, pasting the cover page instead of pasting the annex is a better working method. I shall tried the other way, that is to import styles of annex and create cover page, then paste the annex, but this does bring changes to the annex Macropod -> Yes, includetext with preserve format seems to be the solution, thanks for that! However, layout changes such as landscape and portrait is not done? I shall do more testing and get back to you. Again, thank you for your support (y) |

An INCLUDETEXT field referring to an entire document imports all of the source document's page layout.
