Default Adding numbers outside a text box

I am writing a multi page document on Landscape A4 pages with two text boxes side by side on each page. On Page 1 I want number 1 under the far right text box and 4 under the text box on the left side. On page 2 I want number 2 under the left text box and 3 under the right text box. Text will flow from box 1 to 2 then 3 then 4. This sequence needs to repeat from page to page with the appropriate page number under each text box.

I can flow the text easily but I keep getting lost as I go back and forth which is why I need to number the text boxes.

Just asking for page numbers does not help.



Anyone know how I can do what I want.

Incidentally each A4 page will be printed on both sides then folded in half glued along the edge and put together in a booklet form.

Any advice?

Your logic is flawed in terms of adding pages to your booklet. The booklet will always need to be a multiple of 4 pages and whenever your page count changes, every box will need to move. For instance, if you increase from 4 pages, the first box on the left facing page one will need to become page eight (and page four will need to be on a page facing page five).

Page layout programs (eg MS Publisher, Adobe Indesign) do booklet layouts automatically so I would recommend you look at using something other than Word.

In Word, the best way to do this would be to set up your document normally as if it isn't a booklet (either on A4 or A5 page sizes). When you need to print it, use the printer settings to do a 2 per page output and specify the page print order by typing in the correct order of page numbers {4,1,2,3} or {8,1,2,7,6,3,4,5} etc.

I agree with Andrew completely.



That said, in answer to your question:
You could Insert a Caption for each textbox. The numbering will depend on the placement of the captions not on the flow from one textbox to another.
The dialog above would place the caption in a separate textbox under the current one. That textbox could be moved to the left or right of the original. In the example I created a label of TB but no label would be required. The screenshot below shows the original textbox and the caption textbox both selected prior to grouping them.

I appreciate both these replies and in response to Guessed I think I may have not explained my layout correctly. Imagine an A4 sheet folded in half across its longest edge. Page 1 is the first you see, then open it up for pages 2 and 3, then turn it over for page 4. That is what I meant and how I have done it for years in Serif's Page Plus programme. Being a DTP programme text can be placed anywhere and it has always worked for me. However PagePlus is a very old programme, its output extension is not widely recognised and has its problems with Win 10 even in compatibility mode and I am trying to switch to Word.

Charles Kenyon may have hit on a solution with using Caption, something I have never used so I am going to try that first.

Lastly I have Publisher, only played around with it so I must study it and see if that might be a better solution.

Perhaps you'd care to explain why you're not using Word's bookfold layout?

the main reason is that I did not think that it would do what I want. I briefly played with the bookfold layout but on the short test that I did I could not make it do that.

I have come into using Word for a booklet via Serif PagePlus which is a DTP programme that does exactly what I want but with the drawback that not everyone can read its extension. Exporting PagePlus files to pdf does not easily allow double sided printing.

Maybe I will have to look at Publisher, which I have but used very little, but that is yet another programme to learn and at 81 years old not easy to do.

With a bookfold layout, you don't need the textboxes - the text will flow correctly when printed.

If you're using a duplex printer, all four pages per sheet will be printed in the correct arrangement. If you're using a simplex printer, you'll need to print one half, flip the paper over and reinsert it into the printer before printing the other half.

OK so let me get this right. I type my script, it runs to say 100 A4 normal portrait sheets and to print it I choose bookfold layout on a duplex printer. When it prints out it will automatically change to say 50 landscape pages and numbered so that one side has two sets of columns numbered 1 and 4 and the other side will be 2 and 3. And that will be followed by subsequent pages with 5 and 8 on one side and 6 and 7 on the other side ad finitum until all the sheets print out.

I f that works it would be just what I want.

In any event, you can't link more than 32 textboxes, so you'd need at least three separate series for your 100 pages - and edits in the first or second of these would have ripple effects for the remainder of the document that you could only resolve manually.

Macropod - does your comment that "you can't link more than 32 textboxes" apply to Word in general? If so then I probably cannot use it. 32 textboxes for me would be 8 pages in booklet form so that would constrain me as the maximum for any one chapter.

Earlier Guessed suggested Publisher so as I have it I might just take a crack at that.

Yes. It applies to all Word versions. But as I've already said, if you use Word's bookfold layout, you don't need them.

OK, I guess I hadn't registered that fact, so just to confirm. I type all my script in regular A4 format. Go to print and choose booklet - presumably there may be some other settings to choose for duplex printing - then when it prints out I will get double sided landscape sheets with the script starting on the far right side, flowing into pages 2 and 3 on the back side and then page 4 on the same side as 1 and this will repeat until all the text is finished. Will those page numbers be printed?

When switching to bookfold layout, Word will automatically adjust the page sizes to fit the paper size. So, while the paper size will remain A4 (switched to landscape orientation), the page size will become A5 in portrait orientation. You should see an immediate change in the on-screen page size.

If you insert a PAGE field in the page header or footer, the page No.s will both appear and print on all pages.

OK thanks for your help, I am going to try that out with the text that I have so far and see how it goes. I will report back after the tryout.
