Heading (1-3) Formatting Issues in doc and TOC
Not sure what I'm doing wrong with the formatting for the headings. I have 3. They seem to show fine for some but different for others.
For example, in the image I've captured, 5.1.1 and 5.1.2 (Heading 3) show fine in the document but in the Table of Contents, the spacing is off. With Section 6 - Policy Framework (Heading 1), the numbering repeats 3 times. This is only happening with Heading 1 in some areas of the document. Update 1: Although I can't seem to click or double click on either one of the two '6' heading labels before the actual one labeled 'Policy Framework', if I click on the latter and use my arrows it lets me go up once. The cursor shows up at the far right end of the page, with Heading 1 style still showing selected on the toolbar. However, the 'Table Tools' toolbar now shows up. I tried selecting Delete Table, but that does nothing. I randomly tried inserting columns to see if they'd show up but when I did, both of the two extra '6's disappeared. So now the Section 6 Policy Framework shows up as it should in the document but there's no difference in the Table of Contents after refreshing it.

You have a lot going on in that file. I think you will need to post a copy with just enough content to demonstrate your issue if we are to give you the simplest instructions for how you fix it. The TOC is showing the heading 3 entries as two separate TOC paragraphs so it appears your TOC is being built with index entries rather than just with styles. If you reveal the TOC field code, what does it say? You should also go into your option settings to make sure you can see hidden text on the page. I would also select your headings and press Ctrl-Q and Ctrl-Space to remove any local formatting. Does that resolve the multiple '6' paragraphs? Are those numbers hard typed or autonumbers?

Thank you for your help Guessed.
Following online instructions for displaying the field code, this is what came up: {TOC \o "1-3" \h \z \u} Tried the Ctrl-Q and Ctrl-Space but that didn't seem to work. On some of the headings, the multiple numbers aren't even visible in the document but they still show up as three lines in the TOC. I kept the headings and proceeded to remove the majority of the text under each, updated the TOC and now it looks exactly as it should. All the multiples lines are gone and there's no repeating numbers in the document anymore. Does that mean something was wrong with the formatting of the body text? It was all supposed to be 'Normal' styling. |

What it means, most likely, is that you had blank or empty paragraphs with the heading styles. Here are some resources:

I don't think it was the Normal styling that was the problem. Your TOC field code appears correct but I would get rid of the \u switch which might include outline levels not already covered by the Heading 1, 2 or 3.
It appears that your Heading 3's were getting two TOC entries where the text preceded the heading number. This is not something I have come across before but would hypothesize that it might be possible by putting the text into a frame but without seeing the file, I can only guess. Another possibility is some odd way of doing cross-references but that is also conjecture. If you Select All, Ctrl-Q, Ctrl-Space and then F9 to remove all local formatting and update the fields does the TOC resolve itself? Or did you have to remove all the body text to sort the TOC issue?

Thank you so much for your assistance. Happy to say all of the formatting issues have been rectified! I didn't realize I had been using an older version of Word because my computer was updated with Office 365. Turns out the old version of Word was still installed and set as the default program. Yesterday, IT deleted the old version. I opened the document in Office 365 this morning and all of the formatting issues have disappeared! Still not sure what that was about but I'm just happy its resolved. Really appreciate your efforts to help. |
