Default Unable to link full excel worksheet into word using insert object

Hi,

I prepare a weekly report in word that has tables of statistics with associated bar charts that represent the stats relative to each other. The tables and charts are in an Excel worksheet.

I googled how to do it so that when I changed anything in the Excel worksheet it was updated in the word document.

The sequence was: On the home toolbar select Insert>Text>Object>Create from File>Browse>(find my Excel workbook and select Insert)>Link to file>Ok

The first few times this worked as I desired it to. Anything I was unhappy with (in terms of fonts/layout etc.) I could go to the Excel worksheet edit a change then update the Word document which would reflect that change.

Then the problems started - When I linked the Excel it would only show on the Word as the first few rows of the Excel... If I didn't select 'Link to file' and just selected 'OK' after browsing to locate the Excel it would insert the worksheet in its entirety into the Word but, of course this insert could not be edited on the word or from the Excel.


The first time it did this I bashed around from pillar to post and suddenly it worked again but I had no idea how I got it to work and haven't been able to do it again.

I have read other requests for similar help but the responses have cut and paste the tables and charts from Excel to Word. This is not linking which is what I want to achieve.

Any pointers would be appreciated.

Have you tried repairing the Office installation (via Word Options|Resources|Diagnose, or via Windows Control Panel> Programs> Programs & Features> Microsoft Office (version)> Change> Repair)?

Hi Paul,

I don't have access rights to do that.

I'll try to do it at home on my i-Pad just to see that I didn't imagine that I had it working the way I wanted it to.

Because another guy has to enter a small amount of data to finish this report off - in the work-around to get my data into the word I have had to insert a chart for him to use. It is only 3 dollar amounts and roughly looks like this:

Financial:

Cost A: $xxxx
Cost B: $xxxx over here is the bar chart
Cost C: $xxxx

It would be nice if all he had to do was enter the 3 amounts where the xxxxs are but, he has to enter it where you see them and then move his cursor into the body of the chart, right-hand click to get the menu with 'edit data' and again input the the amounts in the table that appears.

Perhaps you can suggest a more efficient way (he says he doesn't mind as he has had to do it this way for the last 2.5 years).

BTW I did spend ages looking for a solution to my original post but couldn't find one nor find a post in here that covered my question.

That suggests you're in a corporate environment, in which case you should consult your IT department.

Another possibility is that the document has acquired some of corruption. Corrupt documents can often be 'repaired' by inserting a new, empty, paragraph at the very end, copying everything except that new paragraph to a new document based on the same template (headers & footers may need to be copied separately), closing the old document and saving the new one over it.

Hi Paul,

I have made a discovery about this Word problem.

So that you can experience it exactly as I am I have attached an Excel and Word file that I was using to hunt down the problem.

If you open the Excel file first and then the Word file, you will notice that the Word file shows all of the inserted Excel worksheet AND that there is a message to the effect that there may be linked files and would you like to update them... should you click Yes then the displayed worksheet will truncate to only a few columns and rows of the whole Excel worksheet.

However, if you open the Word file first you will notice that the Word file shows all of the inserted Excel worksheet AND that there is a message to the effect that there may be linked files and would you like to update them... should you click Yes then then the displayed worksheet will refresh in its entirety.

You can then open the Excel file and edit it as you wish. If you then go back to the Word file and right hand click anywhere in the Excel inserted material the resulting drop down menu has an option to 'Update Link' - if you click on this the data will update BUT the displayed material will truncate to only a few columns wide by a few rows deep. If you then close both the Excel and Word file (you'll be prompted to save the Word file) and then reopen ONLY the Word file the truncated Excel material will be displayed and you'll get the message asking if you want to update the linked material - clicking Yes will cause the info to update AND the full linked material to display.

As I noted - early on I could edit the Excel and then update the Word over and over and the Word would keep updating and keep displaying the entire Excel linked material.

Perhaps from this discovery you can spot the problem.

Before I post this - To any others reading this post who are trying to insert Excel worksheets in Word I have also noted the following - if, when linking the worksheet, the worksheet you want to link is not the one you want (in my experience it will keep inserting the first tab of the workbook, open the tab (worksheet) you want to link, highlight the area you want to link then save and close the workbook. Then reopen the worksheet and on the Word file re-insert the worksheet that you wanted and it should work.

I am not seeing the behaviour you describe. Do note, though, that I had to change the link path to one applicable to my system, since LINK field paths in Word are always absolute and, as downloaded, still pointed to the address on your system.

Since I can't replicate the problem, that reinforces the possibility that you have a faulty Office installation. Another possibility is that a rogue 3rd-party adding used by your organisation is compromising the way Office is intended to work.

As for your note inserting links to Excel, the simplest way to do so is to copy the desired Excel range, then paste it into Word using Paste Special with the 'paste link' option and your preferred paste format.
