Default Creating buttons for individual paragraph styles on a ribbon tab - not using Quick Styles

Hi all, I have a colleague who would like to make a new tab on the ribbon in Microsoft Word with buttons to apply individual paragraph styles.




There's no need for these buttons to be able to modify styles (which would be done through the normal interface).


Using the Quick Styles panel is not a desired answer for my colleague as she wants the buttons to look like normal buttons for the comfort of some users who are intimidated/confused by the Quick Styles panel.


I'm unable to see a way to do this, any advice or procedures would be appreciated - thank you!

Is there a reason for not just adding the Styles dropdown to the QAT? Aside from which, it's not apparent what you mean by "she wants the buttons to look like normal buttons". What does a 'normal button' look like in this context?

Yes, apparently there's some staff which are not comfortable with things looking different to how they're used to.


While obviously it would be best to put the Quick Styles panel on it's own tab (using customise ribbon rather than customise QAT quick access toolbar) and only show the styles to be available to these users, apparently it's not an option and they "want it to look how it was". Not an ideal premise I know, but it is the premise and leads to this question.


You're right - "normal button" is a terrible description heheh! What they are "used to" are small buttons with an icon and label - around the size and style of the "Cut" or "Copy" buttons on the home-tab of Word.


I feel reasonably confident they could adapt to larger buttons (like the size of the "Paste" button on the home tab) but apparently they are completely put off by the look and interface of the Quick Styles buttons on the right-third of the Home tab. Hence, the question.


I couldn't find an answer so I'm assuming it's not possible without programming our own add-in of some sort - which seems an unrealistic amount of investment, so asking the question to see if I've overlooked anything.

How about using the Styles Pane anchored to one side?
(Ctrl+Shift+Alt+S)

IMO, the ability of the Quick Styles Gallery to let you preview is one of the truly big improvements made to Word's implementation of the Ribbon interface.


(Where are they used to seeing little buttons for styles? I do not recall that ever being a Word feature. The menu versions <2007 had little icons but not for Styles, really.}

The last Word version that looked that way was Word 2003. It's been well over a decade now since that was superseded and the current 'look' was introduced. It's time those recalcitrants updated their skills or retired.

They could always use Greg Maxey's Ribbon modification, then, I suppose.

Hi Charles, thank you for that link to "Ribbon Menu Control" - it looks like it might provide the capacity that my colleague has requested, not so much to recreate the 2003 interface but to be able to make a tab with buttons that apply specific paragraph styles.

Would it be possible to create a tab like that with icons for specific styles? Yes, it would. This is not a trivial task, though. From Graham's remarks I thought what they wanted was the classic menus interface. Again, I am aware of no version of Word that had individual icons, buttons, for each style. The Quick Styles Gallery is the closest.

I believe you would need an individual macro to apply each style and then have to assign the macros to icons on the Ribbon.

Here is the page on designing an easily shared customized Ribbon. It does not use the Customize the Ribbon interface but rather editing of XML. Customize the Ribbon (It doesn't take rocket science) by Greg Maxey, MVP

Ribbon modifications made through the Customize the Ribbon dialog in Word are not easily transferred from one computer to another and when you do, they overwrite any customizations to the Ribbon or QAT existing. They do not allow for small icons/buttons initially. I suspect that as enough get added to the ribbon some of them would shrink.

Here is an example where each icon is assigned to a macro inserting a style:

If this were done using XML coding instead, you could have small icons and would have a much larger choice of built-in icons including the numbers from 1-9.

QAT modifications, on the other hand, can be assigned to a custom template holding the macros without using XML coding. However, without that coding, every button will be a little ball. Modifying the Quick Access Toolbar (QAT) in Microsoft Word, Modify Quick Access Toolbar (QAT) Button Image or Text by Greg Maxey, MVP


Whatever method is used will be labor-intensive to create.


Here are macros for the styles that I just wrote. Again, each style would need to have a macro.

I am not offering my services but saying the following to give you an idea of what is involved.

If I were to do this for your friend, I would anticipate 25-40 hours designing and setting up the custom tab and at least another hour for ecah tweak. Someone better at coding would be able to shorten that time, but not by a lot. Starting without knowledge of Ribbon design, you could be looking at a four-month project.

What is this worth to them? Someone is going to have to spend that time.

Hi Charles, thank you so much for your research and thoughts - it's incredibly generous of you to have thought through and written out everything you have, I'm very appreciative and impressed!


The labor-intensity is certainly the barrier to this approach, however it does come close to what my colleague described and she was very clear that this result was the one she was looking for, not the Quick Styles section - so it's possible she might put the work in. I'll pass it on for her to assess and understand and for her to judge what her choices are.
