[HELP] Automatically update word changes in all documents?
Hi all,
I have 03 documents. Their content are like this: Doc1: The title is “A” Doc2: “A” is important Doc3: The question is “A” As you can see, 03 documents are different, but they have the same one: “A” Now, in document 1, I change: “A” to “B”. After making change in document 1, I want “A” in document 2 and 3 automatically updates to “B”, without manual typing or Ctrl+H to replace. Any posible ways to do that in MS Word? Or any add-on, 3rd party software…help with this? I’ve try combined Excel and Paste Link function in MS Word, but there is problem with text allignment, especially in long and complex documents. The link update function(F9) is messy as well, especially when there are many links. Thanks in advance for your answer. |

You can do that by bookmarking the relevant content in Doc1 then using an INCLUDETEXT field in each of Doc2 & Doc3 to link to the Doc1 bookmark. You can create the INCLUDETEXT field in each of Doc2 & Doc3 via Insert|Object>Text from file, then choosing Doc1 and nominating the bookmark via the Range button.

I think we need more information about the purpose of this request. Can you explain why this is required and whether you will only ever have three documents in total?
Paul's answer is factually correct but probably not be the best way to do this if the end result is going to be three documents for 'A' and ANOTHER three documents for 'B' since the links in the 'B' series of documents are going to be pointing back at the 'A' master doc. The links are also problematic if the master doc is renamed or moved to another folder or the user editing the master document doesn't pay attention to where the bookmark contains after edits are made.

I agree that more information is needed.
These documents likely should be templates if they are reused with an changing information. One of my favorite methods of changing information in multiple templates is the use of AutoText and AutoText fields. The AutoText would be stored in a global template. It then populates documents based on the template. Automated Boilerplate Using Microsoft Word However, that would require that the person making the change know to save the changed text as the AutoText entry. The includeText field would work but the person making the change is going to need to know which document to use to make the change, the source document. |
