Hi all,



I'm trying to help my sister finish her thesis and she needs to generate a table of figures. I can't figure out how to specify the caption as being only PART of the text shown below the images (formatting restrictions are strict when writing a thesis). For example, imagine the following:

what I want is for the caption which will show up in the table to be:
Figure 1. Fishing stations of the Petit Nord........................... 6


but right now it's pulling the entire text (some of the figure descriptions are 4-5 lines long and include URLs... all of that cannot be in the table...


What should I do? How do i force the table to only pull the text i want?

To do that:
1. Insert a paragraph break after 'Petit Nord.'
2. Change the Style of the new paragraph following 'Petit Nord.' to something other than the Caption Style. If you want that text to look the same as the Caption text, create a new paragraph Style based on the Caption Style and use that.
3. Return to the paragraph ending with 'Petit Nord.' and press Ctrl-Alt-Enter. That will convert the paragraph break after 'Petit Nord.' into a Style Separator, allowing both 'paragraphs' to flow together on the same line and, if you refresh the Table of Figures, the text after 'paragraph break after 'Petit Nord.' will disappear from it.

This can be done by setting up your Table of Figures to run from Styles rather than from the SEQ label and using the Style Separator to separate the text you want (in one paragraph style) from that you do not want in the TOF (in a different paragraph style that looks the same).

Here is info on the TOC I recently posted in another forum. It has nothing about the Styles method and the Style Separator, but may still be helful.

The standard table of figures depends on the label "Figure" is the Caption's SEQ field.

The field code for the Table of Figures field is { TOC \h \z \c "Figure" }.
That is, this is really a special Table of Contents field.

The Caption field should look like this:

{ SEQ Figure \* ARABIC }

To see field codes you can toggle the view using Alt+F9 or by changing the Word Options.
(Mac Opt+F9 or Word Preferences.)
Remember to toggle the view back.

\c "SEQIdentifier"
Lists figures, tables, charts, or other items that are numbered by a SEQ (Sequence) field. Word uses SEQ fields to number items captioned with the Caption command (References > Insert Caption). SEQIdentifier, which corresponds to the caption label, must match the identifier in the SEQ field. For example, { TOC \c "Figure" } lists all numbered figures.

\h means that it acts as a hyperlink in the Table of Figures.

\z hides the tab leader ...... and page number in web view (since pages don't make sense in web view).

Hi Charles,

Thanks so much - that was an intensely complete response and it gave me everything I needed to make it work! I just needed to find where to insert the style separator but once I made the formatting visible i found the thing (hiding at the end of the paragraph!)
