Saving a word doc as a pdf with bookmarks
Good morning,
I have a long word document that I create regularly. I would like to have headings from my word doc saved as PDF bookmarks. I created a heading style for the purpose. I tried on a line of text. I saved it as a PDF with options>Create bookmarks using headers. It worked great. Unfortunately, the line of text that I want to use from each page is in a table. I need to use a table for formatting purpose - I have a logo and other columns. There seems to be some problem with it being in table. I type the line of text in the body of the document and use my heading style - all is good. I copy the same line into my table - it seems ok - has the heading style, but when I save as PDF, the options to Create bookmarks using headers is not allowed. is there some restriction about this? Using Word bookmarks is not a solution in this case. I appreciate your help. |

Information that would help: Version of Word? There are bunches in use, with somewhat different quirks. Method of saving as pdf? (There are at least three). Word treats headings inside tables as being different for many purposes. This may be the source of your problem, or not. I can confirm that it is a problem with Word 2013 and earlier. Simplest solution may be to move the headings outside the tables. See also Why use Microsoft Word’s built-in heading styles? by Shauna Kelly and When Headings Aren't Really Headings. Are you sure that when you copy into the table that you are bringing along the paragraph style? Especially with linked styles this can be a problem. Not as simple would be to insert a textbox inside your table cell (without a border) to hold your heading.
That is going to give anomalous results though. Bookmarks may not be in the order you would expect. See attached files. |

If you use Adobe Acrobat to save as pdf it will pick up all. See attached from same .docx.

Third method - Microsoft Print to pdf gives no bookmarks. Neither does print to Adobe Pdf.

Best bet is to use Adobe Acrobat to create the pdf. It gives bookmarks from within tables and has bookmarks in sequential order.
You can get Adobe Acrobat Professional 8.0 for free. Using MS Office Professional Plus 2013
I saved the word doc as a PDF>Chose Options>Created bookmarks using headings.
Just as the above scenario, the inside table heading did not show, but the outside one did. |

See attached, saved using Adobe Acrobat's save as pdf. Both show using the additional Adobe software.

We have NITRO PRO 11. It does not seem to support Word docs as input - "invalid filetype".

Try the free Acrobat. If it meets your needs, great.
If not, Acrobat is not much more than Nitro Pro. It makes it very easy. The screenshot is from Acrobat Pro DC's add-in for Office. It is from the Word File backstage in Word 2013. |
