Good day,
Where I work, we use tons of template letters. From time to time, the organization will change names, or sections with change names, or a new manager is in place so the signature block changes... so I'm constantly modifying all the letters, which is time consuming.

So, I was thinking... Is there a way to create like an original template letter that I could update certain fields, which would update all the other letters' fields?? Example: if the section or the branch of the organization gets renamed, I would have to change the original template with the new name. Then all the other letters would be automatically changed with the new name.



Does it make sense?? Is that even a possibility with word?? That would save me so much time!!!

Your help would be appreciated!

I have done this using AutoText for the information and AutoText fields in the templates that hold the information. When a new document is created based on the template, the fields update.
Automated Boilerplate Using Microsoft Word

When I did it, I used three separate Global Templates for the data. One held the information and logos applicable to the entire firm, a second gave information about the regional manager (name and phone), the third was for the local office (local manager and assistants, phone number, and fax). Each letter template drew from each of these. It was relatively simple to change the logos and information for any part of these.

Thank you for the reply! It seems this looks way more complicated than I expected, I'd probably need a course on that... haha

Or maybe a youtube video with step-by-step info...

It is about as complicated as a 1000-piece jigsaw puzzle (perhaps 3D), or it can be.
I would suggest that you start by reading the articles. A key piece of the puzzle is understanding the use of templates vs. documents. Next understand AutoText.

You can make it more complex if you want by adding in vba.

This is not something that could be covered in a youtube video.
