Hi



I am using MS Word 2010 and have created a suite of letters for issue to customers.

The date at beginning of letter is automatically populated with the date letter is opened and I want customers to reply within 28 days of that date advised at bottom of letter.

Is there a way that this can be done automatically?

Use a CreateDate field for the original date and use a calculated field for the 28 days. Date calculations are complex, but you can refer to Paul Edstein's excellent tutorial, which you can download from my web site and which is linked from http://www.gmayor.com/insert_a_date_...than_today.htm

I had a look over that tutorial but cannot find how to get the code into the field?

Press ALT+F9 to display the construction. Copy and paste to your template. Change the DATE(s) field to CREATEDATE. Change the delay from (off the top of my head) 7 to 28. Update the field. If you use US date formats read the first page of the tutorial.

Done that but code remians in template havent a clue with this sorry!!

Error! Too many picture switches defined

any ideas?

Keep working with the tutorial. Simply copy the date field for a future date and change the delay. That field, as written, does not have too many switches. These things are complex and it is easy to have a typo cause problems.

On a side note, you should be sending your letter as pdf rather than as a Word document if sending electronically.

Your letters should be templates, not documents. When being prepared, you create a new document based on the template and use the CreateDate field as the basis for computations. Templates in Microsoft Word

You may be able to use Chris Woodman's old Add-In to generate the field you want. You can find a link to the archival version of it here.

The tutorial you already have is a far better source of a robust field but, as you've discovered, editing these fields can be troublesome. I strongly recommend working your way through the tutorial if you need to work with these fields.

If you simply copy & paste the relevant field code from the tutorial to your own template(s) (by template I mean a .dot, .dotx or .dotm file, not a document you merely call a template), you shouldn't get any errors - those will only arise if you try to recreate the field code and get it wrong. Having copied & pasted the field code, all you should need to do is change the Delay value to 28 and change 'DATE' to 'CREATEDATE' wherever 'DATE' appears. The reason for using templates is that the date inserted via CREATEDATE is essentially static, but always refers to the date the document was created or saved via Save As, whereas the date inserted via DATE is liable to change whenever you open the document.

The document is basically just a typed letter with the Insert--QuickPart--Field--Date to advise a staff member that they need to input a date 28 days from todays date!

"Information must be provided no later than [Insert Date].This date takes into account the time taken for this letter to get to you and allows you time to make your reply."

It is easy enough. Create a new document from the attached template.
Press ALT+F9 in that document to see the construction.
