Unhappy Copy/paste from Excel to Word problems!

I am having trouble with the copy/paste function between Excel and Word. I am trying to paste a spreadsheet from Excel into a Word document, but it needs to fit on ONE page. I have looked on other forums at tons of other people's threads and tried everything. I can get it to fit to one page by copying as a picture or paste special but, as far as I can tell, there is no way to size it so that the quality is intact. I'm doing this for my boss, and every time we size it to fit, it ends up looking like (in her words exactly) "a cake that has fallen in on itself...short and fat" (stretching of the words and figures, even when using the corner instead of the sides). Please help me! I've tried regular copy/paste, but when I try and make it fit on one page, I only have so much room to adjust the size.



I have MS on my computer, so when I try these things out, they work. I don't have the information she wants done, so I improvise with my own to test it out, and it always seems to work, but when I go into her office with her Mac and the information to be used, it NEVER WORKS!!!!!

I am very frustrated and after two days of this, I'm ready to pull out my hair.

Thumbs down Update:

A side note, after messing with it some more, I was able to paste one worksheet to the Word document to fit the page without adjusting it (copy as picture and then DON'T TOUCH IT AFTER IT'S PASTED) but not only is it not centered on the page, but 90% of the text within the table is blacked out like it's censored or something! Really, guys, I'm getting fed up! I tried adjusting the size of the table in Excel prior to pasting, but the only thing that changed was which cells were blacked out. Didn't help.

well you can try use a menu Insert | Object, choose Ms excel Worksheet,and then you copy your excel data into that sheet, it's more easy like that

Tried that. The spreadsheet created in Word is a funky size, and when you try to make it the correct size, it stretches the words.

Like I said, I can do it six different ways in regular MS Word for Windows, but when I do it on Word 2004 for Mac, everything gets messed up. There are three different spreadsheets that need to be copied onto three separate pages within a Word doc. I made them all the same number of rows and columns, same size of rows and columns, font, etc. Nothing is different about the three documents. I have gotten to the point where I can copy them as pictures and they work wonderfully, except for one of them. It views in Word with black "censor" bars through the title of the spreadsheet, and prints from Word looking fuzzy. When I print the same thing straight from Excel, it looks fine. WHAT IS HAPPENING TO THIS STUPID DOCUMENT??!????!!!!!?????? I'm losing my mind.

Cool Get it at least to look right

I came across this by dint of trial and error the other day. This allows me to copy Excel information into a Word table ending up in native Word format so it looks as good as the text in the rest of the document (but no links I am afraid):

1. Select/Copy your Excel range.

2. Paste into Word. This is the same as paste Special/HTML Format.

The pasted range will be much too big for the page, however this is the trick to make it fit (all the rest is done in Word):

3. Select a range starting just before the beginning of the range just pasted, ending just after the end of the range (i.e. select OUTSIDE the area that you have just pasted; do not start or end your selection inside what was the Excel data).

4. Now convert this selected area to a Table, as follows:

Table/Convert/Text to Table [note that you should only have the Text to table ... option, the other one being greyed out].

5. When the Convert Text to table box appears, just click OK (no need to make any changes).

As if by magic, the Excel table will now be formatted as a Table within Word, fitting into the normal Word margins, and breaking across pages as you would expect of a normal Word table.

The Excel cell layout will be preserved, but there won't be any links to the original workbook. However, all the text will be in native Word format, so that you can re-format if required.

Your Excel data will appear in a Word table that appears to have an extra (blank) row top & bottom, and an extra (blank) column left & right. Apart from the top row, they resist deletion, so you will need to 'remove' the Borders from within Borders and Shading (select from the first blank row of the table to the end, and then delete the borders; they will still show in grey but will not show up in print).

Actually, pasting an Excel range into Word, preserving the formatting and allowing for re-scaling is quite simple: Select & copy the Excel range and then, in Word, use Paste Special > Microsoft Excel Worksheet Object. If you want the Excel workbook to be linked to the Word document, check the 'paste link' option also. With this, you can re-scale the Excel object to your heart's content. You can even re-scale the horizontal and vertical dimensions independently.

Thanks for this suggestion. I have tried this, but it is entirely unsuitable. For instance, I can't see how to make it break across multiple pages, which should be a simple thing to do (I think). Try copying across 1000 rows.

Also, I can't get the font sizes identical to the font sizes in the Word text, as they are separate applications, so if I import multiple workbooks in separate parts of the document, it looks extremely odd. For example a 12-point font in Excel can vary greatly as to how it looks in Word, dependent on the size of the box it sits in. I would want it to be exactly the same as native 12-point Word text.

hi rmeyts,

An object such as an Excel workbook cannot span a page break. If you need that kind of thing, you need to use a different paste format. Getting the font sizes to match, though, is as simple as making sure the Excel object is scaled to 100% of the original size in both dimensions.

FWIW, if you paste an Excel range using 'paste link' and the HTML format, then click in the pasted table and choose Table Tools|Layout|Properties > Table > Options and set the left & right margins to 0, that will greatly assist getting the data to fit within the page margins. Mind you, if the data doesn't fit within the same page margins in Excel, you can't expect it to in Word. One thing to be aware of on this front is that Excel actually shortens the printed row heights. You can prove this by inserting a circle into an Excel worksheet, then printing the sheet. When you measure the printed circle, you'll find its height to be less than its width.

I've found a solution to this:
1. in Excel select the area you want to paste to word
2. Staying in Excel select the print option and adjust the area to fit to one page, how you do this will vary depending upon which version of office you have but in print preview just make sure that all of the selected area fits to one page. At this stage, exit the print option
3. Select 'Copy' for the selected are then 'paste as picture' in word.
This works for me so I hope it works for you

northstarchris: This issue was resolved almost 5 years ago.

Please read post #8 and please don't resurrect ancient threads.

Furthermore, your solution presupposes an Excel page pasted as a picture will fit into whatever remaining space is available on the Word page, which can't be guaranteed and, even if it does at the time of pasting, is liable to change in a document subject to ongoing edits.
