HOW TO: Create an auto generated number format for saving templates
Hi All
First time poster, I have a scenario, hope someone can help. So, I want to create a template that can be used my multiple people in my office. Each time they use the template the document saves as a predefined name but with the title of the content created added afterwards. For example: Matt opens the template and saves his work, its automatically called - KBPS 1 - How to eat dinner (KBPS 1 being automatically assigned. 'How to eat dinner' being taken from the document content) Arif opens the template and saves his work, its automatically called- KBPS 2 - How to skin a cat (KBPS 2 being automatically assigned. 'How to skin a cat' being taken from the document content) Ross opens the template and saves his work, its automatically called - KBPS 3 - How to suck eggs (KBPS 3 being automatically assigned. 'How to suck eggs' being taken from the document content) I hope this makes sense, looking forward to hearing any thoughts on this! Thanks in advance |

For me, this is not a minor undertaking.
This may give you a head start Automatically number Word documents. That Add-In assigns numbers internally in documents. It could, I expect, be adapted to create a default name. BTW, the proper way to use a Template is to use it to create a new document not to open it. You do this by double-clicking on it. This creates an unnamed document. |

I agree with Charles that this is not a trivial task.
In order for Word to work out what is the next number, you would need to determine how this might be done. You could possibly do it by using: - an ini file on the network which is updated everytime someone saves a new doc - a 'correspondence database' which tracks documents and may not be restricted to just storing a document number - a file search to check on a folder and work out how many existing files are there or which one is has the highest number. The macros would need to take into account a number of business rules such as: - how do we decide to create a numbered document or not - where should documents be saved - what happens if a document is created and then later deleted (is that number reused or quarantined) - when is the number created (at creation, at first save, at release of doc) - if a document is SavedAs to create a new one, does it use a new number or a variant of the previous number (and how does the macro get triggered) - what happens when a user creates a file offline and needs to add it to the numbering system
