Two related issues arose yesterday in the course of producing a final corporate proposal document. They had not been attended to in the template customization stage, as they should have, and another solution was found for reason of time constraint. In any case, I am writing to confirm my view of handling them, since I am now tasked with making such features available in our custom template.



Issue 1: multiple sets of numbered headings in a document. In this case, we already had two, including the separate set for the appendices. I was called on to create a third, which would have been a second set in the appendices but working within the first appendices list. That is, there would be, for example, 1.0 for the first appendices heading, then a differently numbered heading list, such as 3.4, 3.41, etc., 3.5, followed by the 2.0 from the first. As long as these were created as separate list styles, per Sauna Kelly's instrux, theoretically there should be no problem, correct?

The second issue is something I expect may not be easy, if it is possible, in Word. I was asked to create separate lists of figure captions for the appendices, so that each appendix would have its figures numbered beginning with Figure1 1-1 or 2-1, the first digit representing the appendix number. To make it even more interesting, the proposal manager wanted these appendix captions not to show up in the TOC.

I suppose a single list style could be created to mimic the formatting and allow restarting of the numbering where desired (though I'm not sure it would work for such hyphenated numbering). Then it could, if desired, be created as a separate table of figures. Is this true, and is it correct that only a single numbering is possible with the built-in Caption numbering (References/Insert Caption)?

Given that Word provides 9 Heading levels, if your heading levels for the body & appendices use different heading ranges, you should be able to format them to look the same but have prefixes or whatever, in the body or appendices only. With such an arrangement there also shouldn't be any issue with the TOC.

As for the separate lists of figure captions for the appendices, you can, of course, include the heading levels in the captions (e.g. Figure 1-1, etc.) and you don't need to have any of that appear in the TOC - simply don't use a heading for them. If you want the caption titles to appear, though, use a heading Style for those and use a Style Separator to join those with the caption labels.
