is there anyway i can remove duplicate text entries with exceptions on the city/state and zipcode on microsoft word without ruining the template?



f.e http://imgur.com/BkAkFQO [1] (names and addresses are redacted for privacy reasons. highlighted the city, state and zipcode as an example of the duplicated address)

had to export this list from a medical software my company uses as a pdf file then i converted the pdf file to a word file, so no, this isnt as a microsoft word address label template but it has the correct margins. Theres 810 pages and most of the addresses are duplicates and i am going to cry if i have to manually delete the duplicate entries one by one. i have tried using excel but that just messed up the format of the text. changing the format isnt an option because i need to print these out using avery 5160 address label paper. pls help. thanks for looking!

Click in a label. Do the Table Tools tabs show up? If so, you are in a Word Table and should turn on display of the table gridlines. Converted documents are always tricky as far as formatting goes.

There is no shortcut to this while the document is in this pseudo label format. My guess is that the PDF conversion didn't convert to a table but to a dreadful mish-mash of text boxes or frames to retain the original formatting. You need to get that document into a table and then that table into Excel where you can use Excel tools to manipulate the data and remove duplicates, then mail merge back to labels.

Don't think of this as a label issue. Think of it as a data extraction issue.
