Embedded Excel Forms in Word
Hi,
Our company uses a excel spreadsheet embdedded into a word document for propsals, we have noticed it works fine until you have saved. Once you have saved if you need to update a field the link breaks. If anyone is able to help that would be appreciated. Also once the word document is saved it is placed in a difference folder. Your embedded worksheet is actually a copy of the workbook, with all its sheets and about 30 separate links back to the original workbook, rather than a single linked object. Because of the nature of the links, they will only work if the relative path between the document and the source workbook remains unchanged. Saving the document to a different folder will break the links. You can re-establish the links by editing them (30 individual edits). The alternative is to create a single linked object, by copying the source range from Excel, then using Paste Special in Word, with the paste link option. Instead of putting the actual workbook into the document, it inserts a link to it and displays the link in the format of your choice. The link thus created retains its absolute path to the original workbook, though it can be changed (via a single edit).

My apologies, I have made a mistake in sending you the excel spreadsheet.
My manager has said that the excel document is embedded into the word document and that there is no separate excel spreadsheet. I have added another document with similar set up and the links update if you make a change. Sorry for any confusion. Jamie |

Your updated attachment, though, still has 17 separate LINK fields. You can see these simply by pressing Alt-F9 to toggle the field code display, then scrolling though the document below 'QUOTATION PROPOSAL'.
But there are some real oddities about these fields: • they're LINK fields purporting to be Excel links (viz. Excel.Sheet.8) • all point to a document (Minor Quote Template - Arran Knox.doc), not to an Excel workbook; • despite pointing to a document reference what appears to be worksheet addresses (e.g. Calculation Schedule!R8C9:R8C10); and • some fields have the filepath (\\\\COG\\CCS FM\\Minor Quote Templates\\) while others lack - so the LINK field substitutes the current document path. It's almost as if someone (Arran Knox?) has tried to create a set of links to an Excel workbook embedded in another document, rather than to an Excel workbook on disc. I think someone has some serious repair work to do, so that the required links all point to the correct target - an external Excel workbook - using a fully-qualified path.

I somewhat understand what you are saying. The only thing that is baffling us is that the minor quote template works!
Are you able to see any major differences between the propsal and the minor quote document that would explain why the propsal does not work. I believe we have embedded the document into the word document, should we link the information? |

A couple of essential differences between the two are that:
a) all the link fields in Proposal Template.docx have fully qualified paths; and b) it would appear those fields are pointing to the workbook embedded in that document, which I assume was saved as '\\COG\CCS FM\Proposals\Proposal Template\Proposal Template.docx', not to a workbook in another document. I would advise against trying to link to a workbook embedded in the document itself. Such links are quite unstable, being dependent on both: a) the document not being moved from the original folder; and b) relying on bookmarks that could easily be deleted. Instead, the workbook should remain as an external file and all your references should be to that file.
