Default File in use by error

I created a Word file that is housed on a network drive, it is opened by a (active-X?) button that is on our company webpage. When opened, the file displays a VBA form that is used to send emails to a shared mailbox.



Every few days something happens where, when opened, an error says "File in use by NAME", when that person isnt actually in the file.

The files read-only attribute is set to true, and there are no temp files in the folder that it could be referencing. I have in the past found a file in there and the message would include a persons name "File in use by John Doe" then when I delete the temp file, it will just say "another user". I don't understand why it would still show the error at all after deleting this file.

I've searched around and see others have had this issue with no resolution. Is there a setting I can use that could fix this or does anyone have any ideas?
