Default Multi-level list hell

Multilevel lists deserve a special place in hell. One multi-level list that I created works correctly. The others do not. Ever. I have spent many joyful hours perusing numerous blogs about making them. If someone could correct me in my backwards ways, or tell me where I have gone wayward, I would be eternally grateful. (See the bottom paragraph for more on my gratefulness.)
Here is my method for making one in Word 2010. Its confusing and doesn’t work.

1. The best thing ive figured out is use the Styles to create the multi-level list you like. Click on the little arrow to show the styles pane on the right.

Modify as needed, and update the styles to match selections.

Remove all the styles you don’t want in the pane above

Click on Change Styles, go to Style Set, and save as Quick Style Set with a new name. I’m doing this because I want my styles and my styles only to appear in the Quick Style area. If you tell me to just use Microsoft’s styles, I will not like you, they are ugly and unprofessional. This seems to be the only part I can kind of make work. I don’t know what Save as Default does in the dropdown. I'm scared to try it. It will probably reverse the magnetic poles or something equally awful.

5.
When you open a new document, go to Change Styles and pick your newly named set.

Hopefully they look the way you left them in the Quick Styles window, although they could totally be bolded or have random numbers in front of them etc. And hopefully there aren’t a bunch of styles there that you already deleted.

7.
If you want things to be in order when you use the indent keys, which would make too much sense and is too good to be true, go to the multi-level list button and click on the one that closest resembles yours. You might have 5 Lists in Current Documents even though your document is blank. When the correct one is highlighted, go to Define New Multilevel list.

8.
Link each level to the style you want. Its quite possible that the example list will bear little to no relation to what you currently have/want, and when you link your style to each level, it will screw your style formatting unless you make it correct in that pane.

9.
When you say ok, cross your fingers and test your multi-level list.

10.
If things are wonky, which they probably will be, adjust them yet again and update the style again. It will probably change some of the other styles when you do that, which makes total sense. Fix and update them all individually.

11.
Just for fun, go look at the Multi-level List pane again and probably see that all your linking is gone or that half of it is in one list in the Current List area and half is in another list and never the two shall meet. You could try fixing it again.

12.
Try saving as a Quick Style again, overwriting your old one of the same name and maybe it will be somewhat close to what you want when you do #5 again. But it probably won’t. If youre lucky, black boxes will cover your numbers, but those are easy to fix by Ctrl/Shft/S and reapplying the same style. Every time you open it.



If someone would like to attempt to make my non-working list work correctly, I would be eternally grateful and would owe you my firstborn child and the dozens of coffee cups of tears I have collected which probably cure carpal tunnel syndrome. I have no idea how to give you either list, but the odds are there is no way to share these things because that would be helpful, which is wrong.
Ive attached docs with each list anyway, even though Im sure they are useless to everyone, including me. The document entitled My multilevel list is the one that works. The document entitled LEED doc list does not.

Hello Shevaun - may I suggest you read the following link:

I have attached a Word template (.dotx) using the numbering you require to the best of my interpretation. Just rename by delete the ".docx" extension. Hope that is helpful.

Of course, there are links within that link that you should follow if you really want to understand the process. You have to be patient and follow instructions provided. If you do, you will come away with a better understanding than what had in your original post.

Thank you very much to both of you, I will diligently read Shauna Kelly's blog until I love multilevel lists! I think I used this to create my first working list, and then somehow lost some steps when creating the second non-working version because I figured I had it all figured out. Which i evidently do not.

Default Apparent bugs from Shauna Kelly's instructions

I've used Shauna Kelly's instructions for creating multilevel lists, and they were extremely helpful. However, I encountered a couple apparent bugs from the instructions, and those bugs were very frustrating. In the interest of helping others, I wanted to describe the bugs here.

In the Shauna Kelly web-site, there's no way to post comments. This present forum (MS Office Forums) was returned by a Google search on Shauna's instructions, and it seemed like a good place to post about those bugs.

Both of those bugs pertain to creating multilevel-lists for headings, using the instructions here, for Word 2010:

Bug #1: After creating the multilevel list, I encountered a bug in copying headings and pasting them, e.g., into the same document, or another document. After pasting the headings, they would not promote or demote properly. In particular, the heading numbers would not change, e.g., after pasting heading "1.1 <heading text>", promoting the heading would not change it to "1 <heading text>"

The only solution I've found is to do a Word find-and-replace for a pasted heading style. The find is for the heading style (e.g., Heading 2), and the replace is to the exact same heading style (e.g., Heading 2). "Replace All" is then used. Afterwards, the pasted "Heading 2" headings can be properly promoted and demoted.

To save time, I wrote a VBA macro to do this for Heading 1 to Heading 9. I assigned the macro to a function key. So, whenever I copy-and-paste headings, I use that macro to fix the bug. (If you don't know how to write VBA code, you can record a macro to do the replace for Heading 1, then copy-and-paste that VBA code 8 times, to do the replace for Heading 2 to 9. You'll need to edit the copied code to update the heading numbers, to 2 to 9, respectively.)


Bug #2: There's a step in Shauna Kelly's instructions that was misleading to me, and the way I interpreted that step didn't work. It was very frustrating and after more than an hour I figured out the problem in her instructions, and the correct way.

Unfortunately, I don't remember what that unclear step was. I've used Shauna Kelly's instructions twice. The first time was 5 years ago, and the second time was 6 months ago. I encountered this problem both times. I wish I had recorded the problem and solution. Anyway, if you can't get Shauna Kelly's instructions to work, it may be due to that misleading step.

  1. You can't send Shauna Kelly comments. She is no longer among the living. That page, though, is the best set of instructions on setting up outline numbering in Word available, anywhere, that I know of. The first few times doing it can be tedious; follow all of the steps.
  2. To properly set up the numbering, you must set up all levels that will ever be used at the same time.
  3. While using built-in heading styles is not required, it can make things easier.
  4. If you are copying the styles to a different document/template, you must copy all involved styles at the same time. I use the Organizer for this. When doing so, I copy them all three times to maintain the relationships between the styles.
  5. If you are having trouble copying them within the same document, you've done something wrong in setting them up.
You are welcome to read my chapter on numbering, but you should know that when I have to set up numbering that will survive editing, I go to Shauna's instructions every time. Numbering in Microsoft Word



You may want to take a look at A Global StyleSheet in Microsoft Word? This describes how to set up a template that holds such styles as a global template that lets you copy them into any document or template using a keyboard shortcut and macro.
