Hi all -

The document is divided into several Units. In the HEADER I set each Unit to be numbered 1-1, 1-2, 1-3 and when Unit 2 begins, the page count continues as 2-1, 2-2, 2-3, etc., so that within each Unit the pages are numbered sequentially. This was not a problem.



The problem is with the FOOTER. I want a continuous page count to number all pages in the document. Every time I update the footer's page reference to continue to the previous, it changes the page number in the header. For example, Unit 3 begins on page 25 so the header should be 3-1 and the footer page 25 ... instead it ends up being 3-25 and 25. If I change it back to 3-1, then the footer reverts to 1.

If Word is not set up to work this way, is there a work around? Thanks!

Number of pages and page number are different.

If you set the new section to restart at 1, then in the header use Page Number.
In the footer use Number of Pages.

fumei, my understanding is that the OP wants the number in the header to be the page number in the section, and in the footer the page number in the document.

This is not possible directly in Word but there is at least one Work-Around.

This is to put a hidden SectionPages field in each section. That needs to be bookmarked. Then a calculation field is used for the Footer page numbering. It adds the current page number in the section (the one displayed in the header) to the bookmarks for the previous section. This will require a different footer (or footers) for each section.

You understand my problem correctly. What are the steps to add a hidden SectionPage field that needs to be bookmarked? How do you calculate the field? Thanks!

Sorry this is my grandpa time. Note, you may have more sections than you do chapters. Any change in margins, columns, or page numbering can create a section.

Nothing is working to make this happen. The document is setup with "sections":

Section 1's header begins 1-1 and its footer count begins at 1 and this is good. This section's last page header is 1-22 and footer is 22 and this is good.

Section 2's header begins 2-1 which is good. Its footer count begins at 1 and this IS NOT good—the footer should be 23. How do I make this happen?

Section 2's header on the last page is 2-24 which is good. Its footer count is 24 and this IS NOT good—the footer should be 46. How do I make this happen?

Yes, and I have in front of me a document with two sections. The total number of pages (Section and Section 2) is 17. Section 2 starts at the 17th page.

In the header of Section 2, the first page shows its page number as 1 - as Section 2 restarts the count at 1. The value is Page Number.

In the footer - ALSO in Section 2 - the number shows as 17. The value is Number of Pages.

Page Number reflects the page number of the current section.
Number of Pages reflects the number of pages in the document.

First off, I have to mention that my expertise is with InDesign and I'm not all that familiar with the features of Word. I understand that what I want to accomplish can be done, so I'm encouraged!

How do you apply the value "Number of Pages" in the footer to count sequentially throughout the entire document? I've tried every option in the "insert" menu. If you could please tell me, step-by-step, which menu option do I select?

Just so you know, in the header of each new section, I've typed the new section number with a hyphen and then inserted the PAGE value.

Number of pages in the document (a total) is not the same as which page this one is in the document. A page could be page 3 of the chapter and page 205 of the document which contains a total of 455 pages. The OP wants the header to reflect the page 3, and the footer to reflect page 205.

The number of pages is given by the NUMPAGES field. The number of pages in the section is given by the SECTIONPAGES field. The page number (which can be restarted) is given by the PAGE field. If the PAGE field were not restarted, the sequential number of this page (205) would be given by the PAGE field. Since it has been restarted, that field will only give the new number (3). The question is how to get both the 3 and the 205 on the same page in the same document.

The OP may also want to display the number of pages in each section (SECTIONPAGES) and the number of pages in the document (NUMPAGES) but neither is a part of the question.

No matter what I do, changing the footer affects the header and vice versa. Even when I selected, "Page X of Y" the count always begins at number 1 for each section.

Read the entire page How to control the page numbering in a Word document. You need the information on creating fields and field calculation. I do not intend to answer any further unless you tell me that you have read the entire page.

I have not used Word on a Mac since the 1990's but suspect that you can find the method for inserting a field on the Insert Tab under Quick Parts.

Your header seems to be taking care of itself.

The fields you need for your footer are the PAGE field and the SECTIONPAGES field. In each section, you need to put a SECTIONPAGES field. This will give the number of pages in the section (total).

If you do not want this number to actually show in the document, that is fine. Use font formatting to mark it as hidden.

NOTE I have been working to do a document to demonstrate this and have not been able to do so.

I've read every link that has been shared in this thread and it just doesn't work. I've searched endlessly on the Internet (YouTube, Forums, Blogs, etc.) to no avail.

I'm trying a reverse process now ... The document is numbered sequentially in the footer using Insert/PageNumbers menus and it is working fine. The header, of course, continues to share the same page number as the footer. I've tried every Field code that has to do with numbering pages and sections and nothing works. I'm starting to think it is not possible. Maybe, I'll just have to manually number the Headers—even though that will not be effecient! If you can share anything further, please do ... its much appreciated. Thanks!

Hi,
Back again.

Rather than hidden, the SectionPages Field needs to be formatted as white. Apparently the calculation field cannot work with hidden formatting on bookmarked text that is used in the calculation.

Also, you will need to lose the Chapter part of the page number. Assuming you are using numbered headings, you should be able to use a Ref field to pull in the Chapter Number.

Strictly speaking, the SectionPages field does not need to be formatted as white, so long as you don't mind it printing out in your document.

Assuming the SectionPages field in Section 3 is marked with a bookmark named Sec3Pages, the formula for the footer page number for Section 4 would be:
{ = { Page } - { Sec3Pages } }

The field code display is toggled on and off using Alt-F9. This is a global setting and applies to all documents in Word until toggled on or off.

Remember that the braces {} must be entered using the Insert Field command or Ctrl-F9. You cannot just type them using the keyboard.
