Question Problem with exporting into Word from OCR software

Hi everyone,

I am trying to OCR a book.

The OCR software i'm using ( Omnipage) has an option to "Retain text and background color" which even though i checked of, still retains them.

I am left with a Word document with a colored text and background; i can easily change the color of the text, but have been unable to change the sepia color of the paper itself.

It isn't recognised as "background".

If i try to paste the text to a new Word doc using the "keep text only" or "match destination formatting" pasting options, i lose the formatting, which is absolutely essential.

Pasting with the first option, " keep source formatting" will result in both text and paper color being replicated into another Word doc.

I'm joining here a sample of a page, and wonder if you people could help a noob ?

Hi
What you need to do is to just select the text without using Ctrl+A as this will pick up the background which you say you dont want.
Follow these steps:
1. Position your cursor just before the first word in your document that you want to start the copy from.
2. Enter Ctrl+Shift+Down Arrow (this will select the first paragraph).
3. Continue entering Ctrl+Sift+Down Arrow for as many paragraphs as you have in your document.
4. Enter Ctrl+C to copy the highlighted text.
5. Enter Ctrl+N to open a new document.
6. Enter Ctrl+V to past the contents into the new document without the background.
You could do a test first to see how it works by just select a few paragraphs.
Good luck.
Tony

Well, i've just tried; i obtain the same results as when copying with the option "keep text only", ie the formatting is lost.

You can download the small word file i uploaded in attachment, and you probably will obtain the same result.

Hi Martin
I did download your small document to test my instructions and it worked fine for me! Which is why I sent you the steps to follow.
How big is your document?

I have uploaded the result in this file "new".

The problem is the new text doesn't occupy the whole page like the original, so when i will be copying and pasting the whole 300 pages book, the pages numerotation will be entirely lost ( + it seems i will have to put back these pages numerotations, which don't seem to be copied with the text).

Wouldn't it be easier to insert a white image behind the text using autoshapes ?
I've just googled that, so don't ask me if i know anything more about it, lol.

Hi
Surely all you need to do is to change the margins to suit what you want in order to maintain the numbering? IN addition you may need to change the line spacing and font size to suit.
