Formatting Cross-References in Word 2010
I am using Bookmarks and Cross References to update sections of a template I created. Everything is working fine except I want to remove line spaces in the Cross-Referenced field. I want the text to be identical but the spacing to be different. e.g.:
Bookmark 1 : Sentence line space Sentence,,, etc. Cross-Ref (Bookmark1) : Sentence Sentence FYI. I tried the line spacing options set to 0 before and after and single spacing. I also played with the switch options \* charformat. Even when I manually delete line spaces they return whenever I Update Field. Can anyone offer some other option or solution to this? Thank you |

Is this a single paragraph of text that you have bookmarked? Then you could just recreate the bookmark and make sure not to include the paragraph mark at the end of the paragraph; that way, line spacing and spacing before/after won't be included when you update the cross-reference.
Click the ¶ button on the Home tab to show/hide paragraph marks (¶) as well as other nonprinting marks.

Stefan,
I'm not sure I understand what you are suggesting. As an example, the Detail section where the Bookmark is located consists of several paragraphs and in some cases bullet points. The bullet points are fine as I want to see those in both the bookmark and cross referenced sections. I just want to remove the space between the paragraphs only. Text and formatting are identical. OK, since the bookmark contains more than one paragraph, my previous suggestion isn't going to help.
When you cross-reference the text of a multi-paragraph bookmark, not only the content and the font formatting but also the paragraph formatting (such as line spacing, spacing before/after, indentation, numbering) may be included. Try the following to get rid of the spacing between paragraphs in the cross-reference: First display the field code of the cross-reference (you can use Alt+F9 as a toggle) and remove the \* CHARFORMAT switch if it is present. Update the field. Then select the whole paragraphs containting the field result and, on the Page Layout tab of the ribbon, set Spacing Before and After to zero (do the same for Line Spacing if you want to). This should preserve the formatting and add a \* MERGEFORMAT switch to the field code.

Stefan,
I followed your steps exactly and it didn't work either. Still goes back to the Bookmark format. How about the use of VBA if necessary? There must be a way to make this work. Thank you for replying. Mark |

What I suggested does work in Word 2010, but apparently not in Word 2007. <Sigh>
You could bookmark the text of each paragraph separately, making sure not to include the paragraph mark. Then add multiple cross-references. This could be time-consuming, obviously. For what it's worth, VBA wouldn't make the task any easier, as far as I can tell.
