Copy outline numbering retaining original numbers
Hello
I have a large Word document which I have formatted using outline numbering. I wish to copy a section of this document across to another however I want to retain the original paragraph numbers and formatting. If I copy normally the paragraph numbering will start at 1.1 instead of 7.5 for example. Any ideas how I can do this? Thanks in anticipation |

It depends on how you set up the numbering to start with and whether you are using the same styles for some other purpose in the recipient document.
Work with copies of your document until you get it right. Try restarting the numbering to the numbers you want in the copied portion. |

Thanks for the reply but I don't appear to be explaining myself properly.
All my outline numbering in both documents is working perfectly. I have to cut a section out of one document because people who are reviewing this section cannot see the rest of the document. When I cut this section out and past it all the outline numbering will change by starting at 1.1 instead of 6.2. I wanted a process similar to Excel paste special / values which pastes the text content and does not "recalculate". So if I pasted my text it would read paragraph 6.2 not paragraph 1.1 because the numbering has been restarted. I have tried saving as an rtf, txt and everything else I can think of but that does not work. 1st question: Is there any way to copy a section with outline numbering and paste it with only the text and format details NOT the outline numbering? 2nd Question Is there any way to restart numbering but NOT at zero., at a number I specify like 6.2? Thanks a lot |

Charles has already answered your question. But I will try to explain further. However, I have Word 2010 version, whereas yours is 2003. So I don't know if all these features are there in 2003 word or not. To get an indepth understanding of numbering please see:
http://www.word.mvps.org/FAQs/Number...artMethods.htm Ans to Q1. So far as I know, there is no way to only paste the text with formatting and without the numbering. The only way you could do this is to turn off numbering in the source document, and then copying the relevant portion. However, you can retain the numbering in two ways: 1. Use paste special and choose unformatted text. This will convert the numbering into hard text, and you will lose some of the indentations, but the numbering sequence will remain as in the source document. 2. Do a normal paste, select the entire pasted text, click on Mulli-level numbering button in the menu (wherever it is located in 2003) and choose "Define New Multilevel list..." 3. Somewhere in that dialog box, there should be a field which says "Start At". The default value in the field will be 1. Change this to whichever number you want. The rest of the numbering will change according to this start number. |

The answer I have found is as suggested open it with Rod Pad and save it as a Unicode Text Document and cut and paste across and then format as suggested Thanks a lot |

Copying the numbered paragraphs and pasting them in plain text format would add the numbers as static text. That is the easiest solution, assuming that "frozen" numbers are OK in the target document of course.

Removing numbering
In case it should still be relevant, you can select in the source document, remove the numbering (as suggested in a post above) by choosing Format/Numbering and selecting None (keyboard shortcut Alt+O,N for the dialogue), copying the selection and pasting.
Either before or after pasting, you can return the numbering to the source doc, either by pressing Ctrl+Z, using the toolbar/ribbon icon, or simply closing the source doc without saving the change. Best, Ulodesk |
